QUALIFICATIONS

  • Administrative Assistant Diploma/Certificate, or a combination of education and relevant experience;
  • Three to five years of relevant experience with a preference for experience in a legal or professional services environment;
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
  • Experience with ViDesktop is an asset;
  • Excellent organizational and time management skills;
  • Excellent attention to detail and commitment to a high standard of work;
  • Strong ability to think strategically and align with the overall goals of the Firm;
  • Proven ability to prioritize and adhere to tight deadlines with excellent deliverables;
  • Excellent communication and interpersonal skills;
  • Strong ability to build relationships with potential candidates, Students, and Associates;
  • Strong team player with the ability to work well in both Human Resources and Student and Associate Programs.

    The starting range for this role is $60,000 to $73,500. Starting salary will be determined based on an applicant’s individual skills, competencies and unique qualifications. Gowling WLG employees have the potential to exceed this range based on tenure and performance.

Responsibilities:

  • Assist with all aspects of the student recruitment process including career fairs, social events, firm tours, postings, screening applications, scheduling interviews, preparing correspondence, completion of references, and verification of credentials;
  • Assist with the preparation, coordination and delivery of comprehensive Student and Associate onboarding;
  • Assist with new hire packages and file management under the direction of the Vancouver Office Director of Student and Associate Programs;
  • Plan, coordinate, and assist with Student and Associate social events;
  • Coordinate Firm involvement in law school sponsorships;
  • Coordinate Associate and Student Review processes under the guidance of the Vancouver Office Director of Student and Associate Programs including management and maintenance of all files and form, collection of data and creation of reports;
  • Assist with coordination and planning of Student and Associate mentorship initiatives including bi-annual meetings between Associates and the Vancouver Office Director of Student and Associate Programs;
  • Coordinate the filing of Law Society documentation as required;
  • Coordinate internal and external continuing legal education programs;
  • Support special projects and initiatives assigned by the Vancouver Office General Manager and monitor project timelines and deliverables to ensure timely completion;
  • Provide administrative assistance to the Vancouver Office Director of Student and Associate Programs and General Manager as required;
  • Other duties as required and assigned.
