REQUIREMENTS:

Essential

  • Bachelor’s Degree or equivalent
  • Experience working within a customer-focused environment
  • Experience in a similar position

Desirable

  • Familiarity with Student Finance and Student Loans Company procedures would be an advantage
  • Experience working in Higher Education
  • Working with E-Learning platforms such as Moodle, VLEs
  • Experience in organising student societies, task groups

Responsibilities:

JOB PURPOSE

The Student Services Support position provides central support for three of our teams (Admissions, Administration and Academics) this position will be placed in one of these areas and will then support the others accordingly. The Student Services Support position involves supporting a range of student-related queries including but not limited to Course application, Student Finance, Attendance and supporting learners in navigating their academic subjects. Ultimately these positions will be supporting the teams in adding efficiency and value to the overall learner journey and enhancing the student experience.

DUTIES AND RESPONSIBLE

  • To cover Reception, providing hospitality to visitors, attending to phone calls, taking messages and transferring calls to other departments.
  • Provide Outstanding advice, guidance and support to prospective students, existing students and Visitors, responding to emails, written, verbal and personal enquiries promptly.
  • Assisting with the relevant documentation, ensuring it is filed, recorded on the relevant system and notifications are sent to the required department.
  • Provide support across Admissions, Administration and Academics.
  • Record all decisions on the UKCBC’s electronic system (SITS, Ulearn, moodle) in line with agreed procedures and service levels.
  • Deal with student credentials including, Moodle, IT logins and ID cards.
  • Promote, collect and Analyse data from student feedback, National student surveys and any additional surveys conducted.
  • Assist in the coordination of Enrichment Week, and student events whilst embracing the college’s responsibility to Equality, Diversity and Inclusion as well as safeguarding and prevent duties.
  • Minute-taking for Committee meetings, and follow-up activities including addressing any student grievances and escalating where necessary.
  • To organise and participate in the election of student representatives and arrange termly student committee meetings.
  • Provide administrative support in setting up interviews, tests and invigilate where appropriate.
  • Assisting with departmental Audits.
  • Advising on procedures for Student Finance applications to avail government funding – tuition loans, maintenance loans and maintenance grants.
  • Assist with maintaining Admissions Department records - enquiry forms, application forms, assessment sheets, rejected/withdrawn applicant files and other miscellaneous filing.
  • To ensure all students are equipped with the correct information relevant to their chosen course i.e. timetables, class changes, awarding body requirements etc.
  • Contribute to the monitoring of agreed service levels, including turnaround times, and chasing outstanding decisions as required.
  • Learn about the various specialist support services that exist on the campus/remotely and advise students accordingly.
  • Work with Tutors, Module Coordinators, Course Coordinators, Course Directors and Safeguarding to ensure the welfare of students.
  • To support and monitor student coursework submissions on their relevant learning portals
  • Liaising between academic team members and students to follow up with assignments.
  • Facilitate and conduct Student inductions after each intake.
  • To record, monitor and track student attendance, then contact students regarding this if required.
  • Authorising student absences on the system and approving mitigating circumstances.
