Description:
We’re seeking a proactive individual with exceptional organizational and communication skills to join our team as an Administrative Coordinator responsible for performing various administrative tasks to support the efficient operation of the studio. This includes managing phone calls, assisting with client communication, providing executive administrative support, and utilizing your clerical skills. This is a full-time hybrid role based out of our studio in Toronto, ON. Responsibilities:
Administrative Support:
- Manage multiple inboxes, promptly responding to client inquiries.
- Coordinate meetings, calls, and schedules, including sales calls and shooter schedules.
- Prioritize and manage diverse projects with precision.
- Support post production team in various tasks
Systems:
- Optimize workflows to enhance productivity.
Event Coordination:
- Assist in planning and executing internal events, fostering team-building.
Office Management:
- Oversee procurement of office supplies and materials.
- Manage packaging and shipping of print orders and USBs.
Team Support:
- Prepare standard form contracts and manage deposit schedules.
Software Proficiency:
- Proficient in Google Workspace, including document and spreadsheet creation.
- Ability to quickly adapt to studio management software.
Additional Duties:
- Perform general office organizational tasks as required.
Requirements:
- Bachelor’s degree in Marketing, Communications, Business, or related field preferred.
- Minimum 2-3 years of administrative experience with calendaring proficiency.
- Strong communication skills, both written and verbal.
- Ability to work independently and collaboratively within a team.
- Demonstrated integrity and discretion handling confidential information.
- Positive attitude, strong organizational skills, and timeliness in task completion.
Beneficial Skills:
- Experience in social media management (content, strategy, engagement, marketing).
- Photography and/or videography experience (shooting, editing, culling).
- Graphic Design, Photoshop, Lightroom, Narrative experience
