Job Description
ASPECT Studios is a purpose orientated, design led landscape architecture and urban design practice. With operations across Australia, Asia the Middle East, and Europe, our studios believe in the power of design to positively change people’s behaviour and lives, the environment, and the planet.
Our London team works on an exciting range of international projects since it was established in 2022. Our studio is centrally located in a historic building near London Bridge. We are a sociable and inclusive team, collaborating with ASPECT Studios across the world including our Dubai, Shanghai, Ho Chi Minh City, and Australian studios.
The Role
We are seeking applications from highly motivated and proactive Studio Managers or Administrators to coordinate the operations of our design studio in London. This full-time or part-time position is central to the successful day-to-day operation and governance of the studio and will have a broad and diverse remit – no day will be the same!

The Studio Manager will work closely with a range of local and international stakeholders to provide:

  • High-level administrative support to the Studio Director
  • Day-to-day coordination of the operations of the London studio - acting as the first point of contact when visitors arrive
  • People related tasks such as coordinating our annual people cycle locally, keeping track of holiday bookings, support the on-boarding of new team members, booking interviews and job advertising, coordinating the team’s resourcing with our global studios
  • Support our global finance team with bookkeeping including invoice management and project administration
  • Assisting with documentation related to bids and submissions i.e. InDesign and format CVs, sourcing images
  • Arranging meetings, greeting guests, and booking and preparing meeting spaces
  • Organise travel bookings and arrangements as required
  • Ordering weekly groceries and general supplies including stationery and office equipment
  • Maintaining and updating project contacts, calendars, library and filing
  • Managing the legal cover documents e.g. insurance cover etc

You will get involved in the fun stuff such as coordinating events for the studio including client visits and lunches, staff events such as summer and Christmas parties.
You’ll play an important part in defining and maintaining a positive and inclusive workplace culture, ensuring a consistently positive experience for our people, clients, and collaborators. In this role you’ll gain valuable insight into a successful international design practice, whilst working with global support teams in Finance, Marketing and Human Resources.
About You
We are seeking candidates who are proactive, collaborative, and detail oriented. You’ll be outcome focussed and committed to continuous improvement.
Strong office management experience will be critical, and an ability to interact with a diverse variety of stakeholders with confidence, authenticity, and warmth. The position requires excellent administration skills to deliver quality outcomes for the practice, our clients, and collaborators.
You will have a good graphical design eye and experience in using InDesign or similar layout software. You will have strong numerical and communication skills and be proficient in using Microsoft Excel and Word.
Ideally, the successful candidate will have experience in project-based organisations, supporting with project administration and billings.
Although experience managing/coordinating design or architecture studios will be highly regarded, we welcome candidates from a wide range of backgrounds within construction, engineering, or other multi-disciplinary or international environments.

The successful candidate must have:

  • 5+ years’ experience in a similar role, with a focus on office operations
  • Bookkeeping experience, with an understanding of project billings and accounting,
  • A basic understanding of human resources, with some exposure to local legislation,
  • Excellent interpersonal skills, with the ability to build trusting relationships with people at all levels,
  • Excellent written and numerical skills, and high attention to detail,
  • Qualifications in administration or business (highly desirable).
