Job Description
ACCIONA M&E is seeking a dedicated and detail-oriented Submissions Coordinator to join our South Melbourne team. This critical role directly impacts our proposals win rate by ensuring that our submissions are clear, compelling, and compliant with client requirements. If you have a passion for writing, excellent communication skills, and the ability to manage multiple projects, this role could be a great fit for you.

Key Responsibilities:

  • Submission Management: Oversee the entire submission process, ensuring all proposals adhere to the prescribed system, including approval processes, compliance with client templates, and schedules.
  • Team Collaboration: Work closely with a dynamic submissions team, regardless of location, to prioritize tasks and manage urgency. Conduct daily “health checks” to ensure alignment with the submission writing plan.
  • Response Strategy: Lead the end-to-end submission and presentation response process, ensuring all expectations, actions, and timelines are met.
  • Quality Assurance: Review, edit, and format submission drafts and final versions to ensure they are accurate, well-written, and persuasive.
  • Key Win Themes: Develop and integrate key win themes throughout the submission, ensuring they are reflected in technical responses from engineers and other team members.
  • Award Submissions: Prepare and submit award entries for project excellence, safety, sustainability, and other categories.
  • Content Development: Interview employees to update their CVs, coordinate project completion forms, and create case studies on project performance.
  • Lessons Learned: Participate in Lessons Learned meetings, sharing insights that can be applied to future submissions.
  • Compliance: Adhere to and promote company policies, guidelines, and procedures, including health and safety regulations

Required Skills and Competencies

  • A bachelor’s degree or equivalent, or a formal qualification in writing.
  • Excellent written and verbal communication skills.
  • Strong organisational and time management skills, with the ability to work under pressure.

Experience:
Minimum of 2 years in a similar role, supporting tenders or submissions.
