Description:
JOB SUMMARY
Job Summary: The Suites Administrative Assistant is a key role within our hospitality team, responsible for supporting the Suites Management team. This position ensures the efficient and effective operation of the Suites Department, maintaining high standards of service and guest satisfaction. The assistant will also handle administrative tasks, customer service, and event preparation.
Key Areas of Responsibility:
- Accurately uses applicable Levy systems
- Pre-event distribution of suite attendant paperwork
- Ensure completed paperwork is collected from suite team members post-event
- Knowledgeable on all menu offerings
- Understands all event paperwork and reports
- Has attention to detail
- Support the Suites Management team in daily operations
- Ensure effective communication with all stakeholders to enhance service delivery and guest satisfaction
- Coordinate with other departments to ensure seamless event operations
- Conduct pre-event suite walk-throughs to ensure suites are set the the Levy Standards as well as post-event walk-throughs to ensure breakdown and check for maintenance issues
Qualifications:
- Strong verbal / written communication, phone etiquette
- Computer literacy (Microsoft Word, Excel, Access and PowerPoint or similar programs) and Internet
- Ability to provide leadership, engage in positive interaction with senior leadership, staff and guests
- Prioritize, organize, motivate staff, problem solve, delegate, follow-up, communicate and diffuse possible volatile situations with tact
- Ability to multi-task daily, be organized, detail oriented, self-driven, forecast issues and handle last minute projects to meet deadlines
- Ability to work flexible hours, including nights, weekends, and holidays
- Proficient typing skills required (ability to type 30 wpm)
- 1+ years administrative experience required
- High school diploma required; college degree preferred
