Description:

POSITION SUMMARY

This position leads the implementation and coordination of a range of high priority administration-related projects and roles in order to further the agency’s administrative functions, goals and mission.

QUALIFICATIONS

  • University degree, College diploma/certificate, or an equivalent combination of education/experience in business and or office administration
  • Minimum 3 years of relevant experience
  • Project management professional certification (in progress or completed)
  • Strong Communication skills (written and verbal)
  • Strong organizational capabilities to manage multiple projects with the ability to multi-task and prioritize effectively.
  • Proven ability to develop, organize and maintain data management systems.
  • High degree of initiative and problem solving with keen attention to details.
  • Demonstrated ability to build and maintain effective work partnerships
  • Highly motivated to continually strive for excellent results including on-going improvements to work processes.
  • Able to work independently and within a team environment.
  • Acceptable Vulnerable Sector Police Reference Check.
    SALARY: Supervisor, Systems and Admin Salary Scale (starting at $ 43.32/hour- $78,841- $92,645 per annum) with Competitive Benefits Package (health & dental) and paid time off entitlements (starting at 20 vacation days & 5 float days)

Responsibilities:

  • Coordinate the development and implementation of administrative projects; especially those that involve multiple stakeholders or departments. This includes facilitating the definition of project objectives and scope; developing work plans; monitoring adherence to project schedules; tracking progress; and resolving issues as they arise.
  • Assist in the documentation of processes and procedures for new initiatives.
  • Support the development, implementation and continuous improvement of processes, systems and tools.
  • Assist in developing, researching and monitoring project plans and new initiatives.
  • Research industry trends and learning innovations to promote efficient operations.
  • Perform other duties and assist with special projects as may be assigned from time to time.
  • Coordinate general office administration and Agency Administrative Assistant positions. Foster an environment of teamwork, quality outcomes, and continuous quality improvement within and across the administration staff team.
  • Assist with the coordination and implementation of range of administrative services and activities to achieve optimal and consistent administrative practices throughout the Agency.
  • Assist with the implementation of new projects and strategies that supports desired outcome for the administration team.
  • Liaise with the building manager regarding building maintenance.
  • Schedule and implement preventive maintenance procedures for the building and building equipment as needed.
  • Attend agency staff meetings and training, team meetings and special events
  • Maintain optimal performance at work
  • Work in compliance with all applicable regulations and laws
  • Comply with all Macaulay policies, practices and quality standards
  • Work to further Macaulay`s mission, vision, values and strategic directions
  • Perform other tasks as delegated or assigned.
