QUALIFICATIONS AND EVALUATIONS

Requirements:
EXPERIENCE: Seven (7) years of progressively responsible experience in office operations with emphasis on administration with 2 years of which must have been as a supervisor for at least 4 individuals.
JOB KNOWLEDGE: Knowledge of either (a) procurement and payment of invoices for goods and services or (b) protocols for international shipping by sea freight, courier and Air Mail.

Minimum two (2) years college or university studies.
Evaluations:
LANGUAGE: Fluency in writing/reading/speaking in English and fluency in writing/reading/speaking in Bahasa Indonesia are required. This may be tested.

Responsibilities:

The position is located in the Management Services Section of the Library of Congress (LOC) in Embassy Jakarta. The position manages and supervises four Locally Employed Staff who (a) prepare outgoing diplomatic shipments, sea freight, courier and airmail shipments of library materials to the Library of Congress (Washington D.C.); to LOC-Jakarta’s sub offices in Bangkok, Kuala Lumpur and Manila; to 39 American, European and Asian university libraries; (b) receive and record incoming shipments of library materials sent to Jakarta by (i) sub offices in Bangkok, Kuala Lumpur, Manila and Rangoon; (ii) Jakarta’s Locally Employed Staff on acquisitions travel; (iii) Jakarta’s contracted vendors and book suppliers. The position’s procurement responsibilities include (i) preparation of Purchase Orders for goods and services procured under the authority of the LOC Field Director for Southeast Asia; (ii) The Integrated Logistics Management Systems (ILMS) entries for General Service Office (GSO) to procure other goods and services; and (iii) acting as Receiving Officer for non-book materials and other goods and services.
