Job Description
As a Switchboard Office Assistant you will be responsible for arrangements of business travel and meetings. You will be responsible also for tasks in connection to administration and office management.

Responsibilities:
- Assist all local travelers (outgoing/incoming) with international business travel according to Travel routine: it includes hotel bookings, local transportation, local and international flight tickets booking, reconfirmation of tickets, issuing invitation letters, etc.
- Book accommodation, train/flight tickets and taxi transfers in connection to Openings/Rebuilding of H&M stores across Romania.
- Invoice management - cost settlement by department for travel bookings and office orders.
- Update colleagues about new office routines and create relevant information flow about changes.
- Liaise with service providers and Business Tech Department in case something is not working properly (including feedbacks).
- Operate telephone lines/mailbox and manage meetings setup.
- Arrange events for colleagues in the office, i.e. monthly meetings, holiday events, Team Days.
- Stock management of office supplies and ensure documentation workflow – couriers, mail post.
