JOB SUMMARY: SYSTEMS & TICKETING ADMINISTRATOR

The Systems & Ticketing Administrator is responsible for a variety of tasks related to the setup and maintenance of events, including creating and managing event dates, setting up ticketing pages, and handling cancellations or postponements. This role involves working with in-house tools to generate reports, using external platforms such as our ticketing provider’s platform (Vivenu), and creating new pages on our websites with a CMS or WYSIWYG editor. Responsibilities also include managing email journeys with Mailchimp.
As you grow into the role, you will take on ownership of certain tasks while providing support for others. This position requires a highly organized and detail-oriented individual who is adept at following procedures closely.
Key responsibilities also include setting up ticketing for live shows, which involves adding new venues, dates, and ticket types, as well as generating essential sales reports for other teams. You will monitor our live shows for any changes like cancellations or postponements and communicate these to our customers promptly. This role is critical as it directly affects what millions of customers see regarding dates and tickets across multiple venues.
Additionally, you will liaise with our venues regarding their representation, requiring excellent communication and diplomacy skills. Basic web design and layout capabilities using drag-and-drop editors are also necessary to succeed in this multifaceted role.

REQUIRED SKILLS/ABILITIES:

  • Superb attention to detail and organisational skills
  • Solid basic IT and cloud application skills (experience with website software and email platforms like Mailchimp preferred)
  • Basic layout/design skills using drag-and-drop tools
  • Knowledge of basic marketing principles preferred
  • Excellent, professional interpersonal and communications skills
  • Ability to work under pressure.
  • Able to sometimes work late in the evening and at weekends, as we are liaising with teams in the UK and putting on shows at weekends (NB we endeavour to make up for peaks of activity with time off at other times - no-one works well exhausted).

Responsibilities:

  • Create and maintain events/shows on ticketing platform (Vivenu)
  • Work with Ticketing Coordinator to analyse ticket & date inventory requirements for each venue
  • Create and maintain public-facing web pages for each venue using WYSIWYG web editing software
  • Add, remove and administrate dates and tickets on sale
  • Liaises with venues regarding how they are represented and any shows we are co-marketing with them.
  • Ensures automated surveys are sent out after shows; monitors survey results and summarises any conclusions or red flags for the wider team.
  • Creating one-off bulk emails to customers in the event of event cancellation etc.
  • Supporting the Systems and Ticketing team, you will work to help teams across different departments. This role will feature a mix of development and process driven work.
  • Troubleshoot and resolve problems in a timely manner for our teams.
  • Create graphical user documentation that is easily understood by the rest of our team, and provide training/guidance to team members as needed.
  • Performs other duties as assigned
  • Check our presence on venue websites
  • Work with the Ticketing/Media Buying team to set up/update pricing models on website links. Documenting active pricing model for other teams
  • Setting up split tests across our web pages to help inform design and messaging decisions
  • Create and maintain customer journeys as required within Mailchimp.
  • Formulating & testing new mailchimp Journeys as required
  • Post-show survey maintenance
  • Implement website translations (to be provided by the team)
  • Create dashboards private to each venue
  • Work through task lists for new venue launches
  • Follow up checks for venue launches
  • Facilitating monthly and automated backups
