PRIMARY QUALIFICATIONS

  • Completion of a Grade 12 High School diploma.
  • Current enrollment in, or recent completion of, a diploma/certificate program in Human Resource Management.
  • Experience and proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook).
  • A minimum of two years’ experience in an administrative support role – recording, compiling and reviewing statistical data and entering data containing a variety of detailed and highly confidential information.
  • Working knowledge of HRIS systems, COGNOS, Workers Compensation Board database and time and attendance systems is an asset.
  • Ability to apply time management skills, being able to organize heavy workloads and multiple supervisors.
  • Excellent written and verbal communication skills.
  • Must maintain the strictest confidence in dealing with highly sensitive employee and applicant information.
  • Knowledge of Manitoba Liquor & Lotteries collective agreements, benefit plan provisions, safety and health/workers compensation board legislation for reporting, submissions and follow up and policies & procedures is an asset.

SECONDARY QUALIFICATIONS

  • Bilingual (French/English) language skills.

Responsibilities:

JOB PURPOSE

Reporting to the Manager, Organizational Development, the Human Resources Intern is responsible for providing a diverse range of administrative functions and providing support to the Human Resources departments. The incumbent will act in a highly confidential manner as it pertains to sensitive employee and applicant information.

JOB RESPONSIBILITIES

  • Audit, monitor or verify eligibility of internal programming requirements.
  • Provide required documents/forms for processing and distribute as required.
  • Collect, utilize and enter information into databases or spreadsheets.
  • May compile data, statistics and other information and prepare summary reports.
  • Produce graphs from statistical tables/spreadsheets for various reports.
  • Assist Consultants with trend identification based on graphical reports.
  • Coordinate, process and monitor clearances or eligibility lists.
  • Create and maintain required documents and files.
  • Assist with program documentation, development, review and revision.
  • Assist with scanning documents
  • Maintain filing systems, including confidential Human Resources business documentation and employee records.
  • Liaise with Records Management staff to perform department records transfer as needed and ensure compliance with the Records Management policy and associated procedures.
  • Assist with identifying and preparing obsolete records for archiving.
  • Monitor and maintain HR Mailbox and route to appropriate department contact. Retrieve and distribute faxes and mail.
  • Update iNet (i.e. job postings, Safety and Health Resources, Workplace Safety and Health Committee Minutes) and/or update communications through the Communications Department.
  • Assist with communication, including mailing and distribution of documents.
  • Assist/attend related events (i.e. career fair, North American Occupational Safety and Health Week).
  • Process internal and external invoices.
  • Ensure P-card maintenance and monthly reconciliation.
  • Respond to general employee and public inquiries.
  • Schedule and organize meetings. Attend meetings, take minutes and distribute minutes.
  • Register employees for training, as required.
  • Administer testing/assessments and ensure files are updated.
  • Order and maintain inventories (i.e. first aid kits, defibrillators, office supplies)
  • Initiate and track work orders.
  • Prepare presentation materials/resources (e.g., PowerPoint slides), as required.
  • Liaise with internal departments and external carriers, vendors, LGCA, WCB, etc. on programming activities or requirements.
  • Perform other related duties as required.
