POSITION SUMMARY

Reporting to the Manager, People and Culture, the Talent Acquisition Coordinator will work as a member of the People and Culture team. They will play a significant role in delivering seamless and efficient support to all stages of the talent acquisition process. They will advance Dixon Hall’s mission by maintaining high standards and supporting the continuous improvement of Dixon Hall’s People and Culture department.

QUALIFICATIONS

  • Post-secondary degree or diploma in Human Resources or equivalent experience required Staffing/Recruitment experience
  • Minimum two (2) years of experience with in-house sourcing and recruiting experience.
  • Experience in a non-profit environment is preferred.
  • Experience using applicant tracking systems (ATS) preferred with experience using JazzHR a strong asset.
  • Strong interpersonal and customer service skills with the ability to quickly demonstrate credibility and develop strong partnerships with individuals at all levels both internal and external to the Agency
  • Highly collaborative with an ability work effectively within a team in a fast-paced working environment
  • Excellent computer skills, including experience using Office 365 (e.g. Outlook, Word, Excel, PowerPoint, Teams, SharePoint, etc.)
  • Exceptional communication skills both written and verbal to engage with individuals and influence/negotiate
  • Self-motivated, with strong organizational and time management skills to meet deadlines and manage multiple priorities.
  • Demonstrated problem solving and analytical skills
  • Must be qualified to work in Canada legally for the employer.
  • Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result that meets the operational requirements of the Agency.
  • Up-to-date vaccination against COVID-19 with a vaccine approved for use in Canada.

Research and Strategic Planning Support

  • Collaborate with management to ensure the job descriptions to create review and revise job descriptions as needed.
  • Support projects related to recruitment and retention strategies, employee engagement and workforce planning.
  • Develop and maintain consistent and equitable procedures and guidelines for recruitment and retention, transfer, staffing and promotion processes.
  • Partner with Managers to develop an understanding of staffing needs across the Agency and to ensure we have effective talent attraction/sourcing support.
  • Coach hiring managers when needed on best practices during the recruitment process including but not limited to interviewing techniques, the accommodation process, and applicable legal requirements.
  • Identify new potential sources of employees and determine appropriate contacts to establish a talent pipeline.
  • Follow short-, medium- and long-term industry, employment, economic and sector trends.
  • Network with internal and external sources on best practices and processes in order to continuously improve talent acquisition strategies.
  • Facilitate relationship-building with appropriate associations and other industry-related groups.
  • Provide information and data to the Dixon Hall community to inform decision-making related to new program development or other initiatives.
  • Support diversity, equity and inclusion goals related to hiring and provide support on these initiatives in other areas as needed.
  • Track and report on recruitment metrics as required.
  • Provide recommendations for process improvement.
  • Manage relationship with various vendors and recruitment partners to identify and develop a diverse talent pipeline to respond to diverse operational needs.
  • Provide guidance to employees and management on HR policies, practices and programs related to recruitment.
  • Provide guidance to management to ensure Ontario ESA and Collective Agreement compliance

Responsibilities:

Full-Cycle Recruitment

  • Act as main point of contact for Hiring Managers as it relates to the recruitment process.
  • Coordinate the full cycle internal and external recruitment from preparing to onboarding including the administration required for each step for all position levels both unionized and non-unionized.
  • Post open positions internally and externally ensuring proper formatting, grammar, and spelling. Track closing dates - extending as needed.
  • Suggest and create questionnaires to effectively funnel qualified candidates.
  • Evaluate and screen candidates and provide a shortlist of suitable candidates to Hiring Managers.
  • Coordinate and participate in interviews as needed with the hiring panel.
  • Provide guidance on assessment tools for the Hiring Managers including but not limited to creating/revising interview questions and assignments.
  • Provide guidance on assessments (selection criteria, areas of priority and focus), process, and upload all results and data to SharePoint.
  • Complete reference and background checks ensuring that all documentation required by the candidate is completed.
  • Prepare and negotiate offers of employment.
  • Ensure a positive experience for all candidates by providing timely, accurate and relevant feedback to candidates.
  • Address accommodation requests from candidates appropriately.
  • Update Applicant Tracking System and other required spreadsheets/databases in a timely manner throughout the recruitment process.
  • Participate in hiring events both in-person and virtual.
  • Partner with People and Culture Generalists and People and Culture Coordinator to coordinate employee onboarding tasks.
  • Maintain personnel files and recruitment files by uploading and updating the SharePoint Drive.
