Reporting to the Executive Director, People & Culture, the Talent Acquisition Coordinator is responsible for full-cycle recruitment, onboarding and contract administration for related employee groups ensuring adherence to employment legislation and standards as well as collective agreements.

Qualifications:

  • Post-secondary degree in a related field with completion of academic requirements towards CHRP designation, or equivalent combination of education, training, and experience
  • Minimum of two (2) years of related work experience providing recruitment and selection support in a unionized environment, preferably in a post-secondary or public sector environment
  • Sound knowledge of HR policies and practices, collective agreements, and relevant employment legislation, such as the Employment Standards Act (ESA), Ontario Labour Relations Act (OLRA), Ontario Human Rights Code (OHRC) and the Accessibility for Ontarians with Disabilities Act (AODA)
  • Ability to develop and maintain effective working relationships in a manner that gains trust, respect and cooperation
  • Excellent interpersonal skills and judgement, with a demonstrated ability to deal with sensitive or confidential matters with discretion and tact
  • Outstanding oral & written communication skills, organizational skills, and attention to detail
  • Strong client service orientation with a demonstrated commitment to the principles of equity and inclusion, and experience promoting a respectful work and learning environment for students, staff and faculty
  • Strong computer skills and a working knowledge of all Microsoft Office applications and well-developed internet research skills; knowledge of Human Resources Information Systems (HRIS) and applicant tracking systems (e.g., Taleo)
  • Demonstrated ability to work independently and participate collaboratively in a team environmen

Compensation: Hiring Range - $31.59 to $36.14 per hour commensurate with experience, plus 4% vacation pay and 7% in lieu of *benefits; Salary Range - $31.59 to $41.52 per hour.

  • The successful incumbent has the option of pay in lieu or enrollment in benefits

Responsibilities:

  • In conjunction with the Executive Director, People & Culture and other staff, participate in departmental planning in support of the University’s strategic plan and People & Culture (P&C) goals and objectives
  • Provide high-level customer service by ensuring seamless coordination of work with other P&C staff
  • Coordinate full-cycle recruitment and selection processes, including: preparing job postings and search timelines, arranging advertising, collecting and processing applications, preparing shortlists, scheduling and participating in interviews, conducting applicant testing and completing reference checks, as appropriate
  • Prepare interview packages, including identifying selection criteria and interview questions in support of the University’s equitable hiring practices
  • Provide exceptional support to candidates throughout the recruitment process, including answering inquiries, guiding candidates in navigating the applicant tracking system (ATS), and addressing unforeseen issues promptly and effectively, ensuring a positive candidate experience
  • Develop innovative recruitment advertising strategies, including researching and utilizing diverse job boards, networking with educational institutions, and identifying new channels to attract a broad and diverse pool of candidates
  • In collaboration with the Organizational Development Specialist and P&C Advisors, support organizational development initiatives and ensure consistency in recruitment and workforce planning processes by advising and supporting hiring managers with related activities, as required
  • Coordinate the placement of temporary staff in conjunction with relevant supervisors, including liaising with agencies as needed
  • Prepare correspondence and reports related to recruitment and selection activities, as required
  • In consultation with the P&C Advisors, extend employee job offers and promotions, including determining salary placement and other terms of employment in accordance with established practices and applicable labour agreements
  • Prepare employee contracts and related correspondence for relevant employee groups, including contracts for temporary staff, ensuring salary placement and other terms of employment are set in accordance with applicable labour agreements and/or established practices
  • Update the applicant tracking system including user profile creation and maintaining data integrity
  • Track success of recruitment programs by creating and analyzing reports from the applicant tracking system, recruitment activity and campaigns
  • Act as a liaison with Executive Search firms for applicable recruitments, providing necessary materials, support, coordinating schedules, and managing room bookings
  • Ensure compliance with Labour Market Impact Assessment (LMIA) requirements for applicable recruitments, including adhering to advertising and documentation standards, and supporting the processing of LMIA applications as needed
  • Assist new hires with work permit applications, relocation, and any other related immigration issues
  • Support the coordination of new hire/employee orientations ensuring communication on relevant collective agreements, policies, procedures and required training (e.g. health and safety, AODA, etc.)
  • Track and ensure new managers and hiring committee members have completed recruitment and selection training; advise hiring managers and search committee chairs on best practices in recruitment and selection program, serve on hiring committees as appropriate
  • Maintain accurate and organized recruitment files to ensure compliance with internal processes and standards
  • Provide general assistance in support of current and new People & Culture initiatives, as assigned
  • Serve as backup for the other People & Culture staff, as required
  • Assist the Executive Director, Director and other P&C staff in related functions contributing to the successful operation of the People & Culture office

Hours of Work: Monday to Friday, 35 hours per week. This is a temporary contract expected to continue until December 19, 2025.
This is a hybrid opportunity; the incumbent is expected to work on campus on Tuesdays, Wednesdays, and Thursdays and remotely on Mondays and Fridays.
