WORKING AS A TALENT ACQUISITION SUPPORT COORDINATOR

Shared Services is seeking a dynamic, detail-oriented Talent Acquisition Support Coordinator for an 8-month term, with the possibility of extension, to join our Talent Acquisition, Immigration, and Records team. In this role, you will provide comprehensive support in coordinating and managing key recruitment services, ensuring smooth and efficient processes that drive the success of the University’s talent acquisition efforts.

QUALIFICATIONS:

  • A minimum certificate in Human Resources is required.
  • A minimum of 1 year of experience in human resources or recruitment function is required. Experience with applicant tracking systems is preferred.
  • Understanding of relevant Canadian legislation, collective agreements, and handbooks.
  • Proven ability to learn complex business processes and ensure adherence to policies and procedures.
  • Exceptional accuracy, attention to detail, and multitasking abilities.
  • Excellent interpersonal and relationship-building skills, with the ability to work effectively both independently and as part of a team.
  • Strong organizational skills, with the ability to manage and prioritize tasks based on the needs of various stakeholders.
  • Proven commitment to delivering excellent customer service while upholding tact, diplomacy, and professionalism.
  • Superior written and verbal communication skills, with the ability to maintain confidentiality.
  • Strong listening skills and the ability to engage with the diverse, multicultural University community.
  • Able to promote and work effectively in an integrated service culture.
  • Proficiency in Google Suite and other relevant computer applications.

Responsibilities:

  • Provide comprehensive administrative support across all stages of the recruitment cycle.
  • Manage recruitment requests and communications effectively through the Staff Service Portal.
  • Prepare, edit, review, and update job advertisements for the U of A Careers website and various external recruitment platforms, ensuring alignment with institutional guidelines and regulatory compliance.
  • Collaborate with clients to verify recruitment details and confirm hiring approvals.
  • Enter and maintain job postings in the Recruitment Database, ensuring proper adherence to Duty to Accommodate and Recall procedures.
  • Coordinate external advertising requests, engage with external advertising providers to facilitate ad placements, and handle invoice reconciliation.
  • Process applications and conduct preliminary candidate screening based on predefined criteria.
  • Assist hiring managers with scheduling interviews, preparing interview guides, and completing reference checks.
  • Deliver exceptional, client-focused service with a high level of professionalism and attention to detail.
  • Support the administration and coordination of Special Employment and/or other Talent Acquisition Programs.
