Description:

SKILLS, KNOWLEDGE AND EXPERIENCE

Minimum 5 years Administration or PA experience in a professional services or partnership environment or in a project management role.
Goal orientated, flexible and well organised and thrives in a fast-paced environment working to deadlines.
Proven customer / client relationship skills.
Excellent communication and interpersonal skills.
Strong time management and multi-tasking skills, alongside a positive, can do, solution orientated attitude.
First class report writing, grammar and proofing reading skills.
Experience of working in a professional services firm would be ideal but not essential.

Responsibilities:

THE ROLE / LOCATION

We wish to recruit an exceptional individual as a Team Administrator to support our Offices department, based in our Head Office at 33 Molesworth Street, Dublin 2.

KEY RESPONSIBILITIES

Proactive critical support to a team of 13 (including 3-4 Senior Directors), enabling optimum team effectiveness.
Proactive diary management, alongside timely optimised travel arrangements.
Document production working from mark-ups & formatting of pitches, reports and essential documentation.
Administering team meetings (including diary co-ordination, agendas, action logs and assigning tasks (on salesforce).
Formatting presentation templates.
Tracking and maintaining files. On-boarding new clients (and updating as and when required) and ensuring PSRA regulatory requirements are met.
Leading the administration of projects, generating invoices and accurately synchronising fees/jobs between excel and MS Dynamics and Salesforce.
Maintaining accurate stock listings on the teams’ sales and leasing platform and ensuring targeted fees and project completions are accurate.
Administer follow-up on debtors and creditors using data supplied from the accounts team. Liaising with accounts on updates and ensuring accurate records.
Managing team content on platforms such as the Savills intranet.
