Position Overview
The Team Assistant provides support in a variety of functions to the VPs and the EMEA Delivery Team. Reviews, prioritizes, directs and delegates a wide variety of complex and confidential tasks. It is a dynamic and multifaceted role designed to support the efficient operation of our Delivery VPs. Assisting with day-to-day administrative tasks including presentation preparation, scheduling meetings, managing calendars, and coordinating travel arrangements for VPs, preparing presentations for Monthly calls and serving as a gatekeeper for VP calendars
Part of this role is to support the Office Manager with office administration and general office duties.
An ideal candidate for this position is a resilient, detail-oriented and a problem-solver. Must be comfortable working with a wide range of stakeholders in different time-zones. Position requires integrity, objectivity, promptness and the ability to stay organized in a fast-paced environment. Projecting a positive, confident attitude, with strong customer service skills, will be essential to success.
Essential Job Functions
- Coordination of daily calendar, travel arrangements (domestic and international), and administrative activities for the VPs, EMEA and other members of the Delivery Leadership Team, EMEA where required
- Assist office manager with event planning and support
- Expense report preparation
- Asist office Manager with organization, communications, and schedule flow
- Ordering office supplies
- Uses discretion, judgement, and knowledge of organisation to facilitate leadership activities
- Conference room management, including meal ordering when appropriate
- Office reception & customer service
- Periodic filing, both hardcopy and softcopy
- Shipping & receiving documents and packages
- Internal company communications
- Be able to prioritise your workload
- Contribute to the continuous improvement of processes and procedures
- Identify opportunities to develop processes to meet business requirements
Job Requirements
- Business Degree or equivalent
- 2+ years of experience in an administrative, organizational or other detail-oriented function
- 2+ year as an Team Assistant
- Highly-organized, energetic and a fast learner
- Excellent presentation skills
- Excellent communication skills: written/grammar/spelling, verbal (formal and informal), listening and talking
- Experience with Microsoft tools, including the ability to schedule, track, report and follow-up using these tools
- Experience with Outlook calendaring is required
- Experience with SharePoint, preferred
- English language is mandatory. Knowledge of other languages such as German or Italian is desirable, but not essential.

- Referencing and security checks will be carried out as required
