The Team Lead supports the Office Services team in delivering administrative support to the firm through, shipments + deliveries, scan + print jobs, facilities support, upkeep, and purchasing of supplies and hospitality + catering.

QUALIFICATIONS + SKILLS

  • 2+ Years of Scan and print experience
  • Ability to format Excel workbooks for printing on standard media
  • Expert MFP maintenance and printing Skill
  • 2+ Years of courier and logistics experience, including customs export forms
  • Facility maintenance,
  • including appliance and furniture repairs, or replacement and building repairs
  • Understanding of commercial HVAC will be an asset
  • Electrical and commercial lighting knowledge will be an asset
  • Ability to fully utilize computer workflows to complete tasks and train team
  • Ability to research information for projects

Responsibilities:

  • Providing support to the Director of HR + Administration and COO with projects and updating department status
  • Invoice handling for the department
  • Ensuring facility is ready for new hires
  • Leading Office Services team
  • Coordinating Office Services staffing and coverage
  • Training new hires on the function of Office Services
  • Developing, documenting, and implementing department procedures
  • Facility repairs and maintenance
  • Liaising with the property manager and building operators for building repairs
  • Working alongside other team leads and managers to complete projects and complete tasks
  • Record and format analytics for space usage and equipment usage.
  • Work with the MFP provider to ensure machines are maintained to a high uptime
  • Manage vendor relations and accounts
  • Manage the internal access control system, and premises security devices
  • Management of tenant parking
  • Understanding current state and history of the premises and provide information as needed to the firm leaders and BDM for RFPs
  • Working with the Business Development + Marketing department as needed for inhouse marketing collateral.
  • Liaise with others on space planning
