Role/ Department:
Reporting to the Transfer Agency Dividends, Rebates and Commissions Team Leader. The Technical Coordinator is responsible for assisting the team leader in day to day management of a cyclical deadline driven function that requires efficient and confident decision making, with effective multi-tasking skills. Assisting the team leader in developing a team consisting of a number of partners based in Northern Trust offices in Limerick and Dublin. Responsible for day to day oversight of the India Transfer Agency Dividend, Rebate and Commissions team.

The key responsibilities of the role include:

  • Responsible for assisting the co-ordination and delivery of the Dividend, Rebate and Commissions teams responsibilities ensuring data protection and regulatory requirements are met. Assisting in ensure effective and timely communication to all Dividend, Rebate and Commissions partners. Maintain strong control links and oversight with teams where Ireland have outsourced activities to those teams.
  • Participate at client, audit, compliance and all other external/internal meetings representing the TA Dividend, Rebate and Commissions function when required. Participate in Presentations to all levels (internal/external) when required
  • Assist team leader where required in collating annual Strategy Plans for the Dividend, Rebate and Commissions team ensuring expectations are realistic whilst challenging. Maintain and report throughout the year on progress of points under your control.
  • Responsible for assisting in ensuring all client service standards and regulatory requirements are met in conjunction with managing all strategic, regulatory and operational changes impacting the Dividend, Rebate and Commissions processes and teams.
  • Ensure strong Employee Engagement Levels are maintained within the Dividend, Rebate and Commissions team.
  • Ensure you and all partners within the Dividend, Rebate and Commissions team are adhering to Northern Trust policies, procedures and controls.
  • Prepare daily/weekly/monthly Management Reports as required within agreed timelines. Analyse and understand data to aid your team leader.
  • Assist in ensuring all Incident Reporting completed within the required timelines to a high standard and that solution driven preventative measures are identified/implemented understood and procedures updated accordingly.
  • Analyse errors and near misses and proactively implement risk based solutions to prevent trends emerging when required.
  • Involvement in Audits/Reviews relating to Dividend, Rebate and Commissions where required. Assisting in collating management responses to effectively manage prescribed timelines.
  • Continually improve the service offering to clients (both external and internal) and Investors.

Skills/ Qualifications:

  • Demonstrate an excellent understanding of effective risk management
  • Ability to effectively problem solve and effective decision making within a pressurised environment
  • Past Transfer Agency experience is advantageous
