Job Description Summary:
We have an opening for a temporary Office Administrative Assistant who will perform various administrative and clerical duties for the DC office. The work schedule for this position (non-exempt) will be 40 hours per week, Monday - Friday, from 8:30 am - 5:30 pm ET.

Job Description:

  • Draft correspondence, presentations, reports and spreadsheets, and the DC office weekly newsletter.
  • Prepare and process invoices, expense reports, and credit card reconciliation for office related expenses.
  • Prepare and update office manuals, project lists, and other procedural documentation.
  • Schedule conference rooms and visiting offices and confirm meeting details and ensure arrangements.
  • Place catering orders for all internal meetings.
  • Coordinate with vendors and caterers to ensure quality service is delivered.
  • Manage office events calendar.
  • Assist with event planning including office events (holiday party, CSR and DEI events).
  • Maintain information on DC intranet and Firm calendar.
  • Participates in the firm’s emergency response plan and acts as a first responder for onsite emergencies and maintains emergency supplies and procedural documentation.

Desired Skills and Qualifications:

  • Proficiency with MS Office (MS Word, Excel, PowerPoint, Outlook)
  • Experience with Adobe Acrobat, Photoshop, Canva or similar graphics software is preferred.
  • Experience with EMS or similar conference room booking software is a plus.
  • Exceptional written and verbal communication skills.
  • Working knowledge office administrative processes/procedures and familiarity with operation of standard office equipment is preferred.
  • Strong organizational skills and the ability to efficiently and effectively multi-task and prioritize.
  • Professional demeanor with demonstrated poise, tact and diplomacy is required.
  • The ability to maintain absolute confidentiality and discretion is required.
  • The ability to work in a fast paced and dynamic environment is a plus.
  • The ability to take initiative and adapt to changes in the work environment.
  • Time management skills to efficiently meet deadlines.
  • Acute attention to detail and the ability to ensure quality and accuracy in composing, typing and proofing documents.
  • Ability to work a flexible schedule, to include overtime as needed.

Reporting to the Office Administrator, the ideal candidate will have a minimum of 2 years of prior administrative assistant experience in a corporate or professional services setting preferred. Associate or bachelor’s degree preferred.

The anticipated range for this position is:
$53,000 - $69,500
Depending on the role, the actual base salary offered may depend upon a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
A discretionary bonus for eligible employees may also be available based on performance. Additional information about employee eligibility for benefits and discretionary bonus will be made available upon request
