Description:

JOB SUMMARY:

Temporarily provide reception services and office support in order to ensure efficient operations within the company’s main office.
LOCATION: Fairweather, LLC Office- Anchorage, AK
SCHEDULE: Monday through Friday, 8:00am to 5:00pm
Responsibilities:

MINIMUM QUALIFICATIONS:

  • High School Diploma (or GED or High School Equivalence Certificate)
  • At least two (2) years of similar experience in an office setting
  • Proficient in MS Word, Excel and PowerPoint
  • Excellent customer service skills
  • Reliability – good attendance is essential

Applicant must have proficient knowledge in the following areas:

  • Knowledge of administrative and clerical procedures and office administration
  • Knowledge of computers and relevant software applications, including Outlook and MS Office Suite (Word, Excel and Power Point mostly), Adobe, Microsoft Teams

Applicant must demonstrate the following skills:

  • Effective and timely communication skills over the phone, in person, and in writing
  • Reliability – good attendance is essential
  • Work well alone, in teams, and in diverse populations
  • Ability to meet and establish good working relationships with people
  • Ability to establish priorities, work independently, and complete objectives
  • Ability to read and follow instructions
  • Ability to exercise discretion, as this role may come across sensitive information from time to time
  • Computer skills including the ability to create and maintain spreadsheets, word processing, publishing, calendaring, emails, and PowerPoint programs at a highly proficient level utilizing MS programs: Excel, Word, Publisher, Outlook, and PowerPoint.
  • Knowledge of how to operate printers, fax, scanner, phones, and e-mail.
  • Service Orientation – Actively looking for ways to assist people
  • Information management, including organizing and planning

WORKING CONDITIONS:

Physical Demands:
The Receptionist will have to spend most hours sitting and using office equipment and computers. The Receptionist may also have to do some light lifting of supplies and materials from time to time.
Working Conditions:
The office may be a busy facility. The Receptionist may have to manage a number of projects at one time, and may be interrupted frequently to meet the needs and requests of employees, staff, visitors, clients, contractors, and the general public. The Receptionist may find the environment to be busy, noisy, and will need excellent organizational and time and stress management skills to complete the required tasks.

Responsibilities:

Receptionist Responsibilities:

  • This is a temporary position
  • Answer all incoming calls and handle caller’s inquiries whenever possible. Re-direct calls as appropriate and take adequate messages as needed
  • Greet, assist and/or direct guests, visitors, employees, and the general public, including, but not limited to, offering beverages for the guests or visitors while they are waiting
  • Collect, sort, distribute, and prepare mail, messages, and courier deliveries to the appropriate department or people
  • Provide information about establishment such as location of departments or offices, employees within the organization, or services provided
  • Transmit information or documents to customers, using mail, email, or fax
  • Assist in the preparation of shipments through USPS, UPS or FedEx
  • Assist in the planning and preparation of meetings, conferences, and conference calls. – May include coordination of catering
  • Ensure kitchen/break room, office supply rooms and copy machine areas are tidy and stocked with supplies (Does not include washing dishes.)

Clerical Responsibilities:

  • Provide travel coordination support to various departments, including researching flights/lodging/vehicles and securing reservations
  • Provide word-processing, Excel spreadsheets, and administrative support
  • Assist in monitoring the use of supplies and equipment
  • Order office supplies from approved vendors, as needed and approved
  • Coordinate the repair and maintenance of office equipment
  • Maintain a tidy reception area
  • Assist with other staff’s projects
  • Maintain office and client contacts
  • Perform other related duties as requested
