A Day in the Life
As Tender and Contract Analyst Belux, you are responsible for managing all tenders, contracts and offers for the Belux region. This includes all administrative tasks from tender announcement until tender contract expiration, guide and assist the business in the setup of all types of contracts and create/maintain regular offers. Your goal is to be the administrative gatekeeper of all tenders, contracts and offers of your region.
To bring this role to fruition, you will be in contact/collaboration with other departments such as finance, legal, regulatory affairs, customer service, etc. You will contribute to and implement ongoing process improvements in the Pricing, Contracting and Tender team. You will become a superuser of our daily used systems such as SalesForce.com (Lightning) and Vendavo (price approval tool).

Responsibilities may include the following and other duties may be assigned:

  • Daily screening of published tenders and inform the concerned sales departments of the relevant ones.
  • Coordinate each tender of your region, from kick-off meeting to submission.
  • Once the tender is awarded or not, you ensure the administrative follow-up and the update.
  • Support internal customers with tender-related questions.
  • Guide and advise the sales teams in choosing the appropriate contract type.
  • Take an active part in the contract discussions for your customers and ensure all the necessary steps are followed to create the contract.
  • Prepare the contracts based on contract templates, ensure conditions and prices are approved before forwarding them to the customer for signature.
  • Monitor yearly price increase possibility and the status of contracts, following up with the sales teams (e.g., signed or not by customer, prolongation needed, cancellation, etc.).
  • Ensure that quotations put into Vendavo by the sales teams follow agreements and procedures.
  • Deliver the approved quotations to the sales teams.

Required Knowledge and Experience:

  • 3 years of experience working with tender, contracts, procurement or similar
  • Fluent in both Dutch – French, written & verbal. Good level of English
  • Contract management skills, collaboration, organizational & coordinating skills
  • Detail-oriented, rigorous and the ability to communicate across all levels of the organization and with external customers
  • Time management, workload management & prioritization
  • Self-motivated and able to work with a minimum of supervision
  • Team player with a positive attitude

These additional skills are considered valuable plus: previous work experience in the medical device industry, experience with SAP/Vendavo and Knowledge of contract concepts, contract law or regulations
