Description:

The Opportunity
Keyano College is actively seeking a Testing Services Facilitator on a casual basis within the School of Business, University Studies & Academic Upgrading. Reporting to the respective Associate Dean, Business or University Studies & Education, the Testing Services Facilitator will be crucial in providing administrative support in preparing, delivering, tracking and invigilating supervised exams for college students. Instructors will often provide direction to Invigilators to ensure the appropriate examination protocols are followed. Interested individuals must be flexible in their hours and may be required to provide invigilation services during weekdays, weekends and evenings.
Note: This is not a remote or hybrid work opportunity, so you will be required to work on campus and relocate to Fort McMurray, AB.

Duties & Responsibilities

  • Maintain mandatory administrative certification for specialized test. (Such as TOEFL, TOWES, CELPIP, etc.)
  • Maintain control and security of tests and learning environment at all times. Ensure exam papers are secure and always accounted for. Track exams and enter data into spreadsheet.
  • Prepare exams for test sitting (i.e., print paper exams, class rosters, ensure computer access for online exams, complete all necessary documentation for faculty, institutions, external clients)
  • Invigilate daily exam sessions (i.e., check for appropriate identification, proof of payment if applicable, provide instructions to test takers, follow exam rules).
  • Maintain exam credibility by providing complete instructions to test takers prior to writing the exam.
  • Ensure all exam rules are followed during the writing of exams and inform faculty, staff, and students of exam policies and procedures.
  • Complete daily collection and enter information into the tracking sheet, inventory, mail log and/or Power Campus. Prepare for the writing of external institutional exams by completing mandatory system demonstrations to ensure all equipment is working properly prior to the scheduled exam writing.
  • Ensure invigilation forms are properly completed and filed in the proper location. Secure rooms for writing to maintain Testing Centre integrity.
  • Ensure faculty, students, staff, and external clients understand exam procedures and adhere to Testing Services guidelines.
  • Trouble shoot computer-based exams and advise Information Technology department as needed.
  • Complete, scan and forward documentation to Finance department for monthly billing.
  • Read, understand, and follow all procedures for internal and external exam invigilation.
  • Ensure procedure changes and additions are updated in the procedure’s manual.
  • Prepare packages to be sent to outside institutions for test delivery. Mark test and send results to test takers.
  • Maintain a responsive, professional, and friendly environment for students, staff, faculty and external clients.
  • Direct students and clients to the new online appointment booking system. Provide guidance to students and external clients that require help with booking appointments.
  • Assist students and external clients in accessing services and direct them to appropriate resources and supports.
  • Work with other departments to provide exceptional customer service; (such as, Office of the Registrar for schedule changes, Disability Services for Accommodated students).
  • Provide feedback and/or additional information for Testing Services marketing material when requested.
  • Respond to phone, email, face-to-face inquires related to general Testing Centre functions.
  • Log, deliver, pick up and distribute mail.
  • Attend regularly scheduled Testing Services operational meetings.

Qualifications

  • Certificate in administration, business, or education-oriented programming.
  • Proficiency in Microsoft Office applications, interpersonal skills, experience dealing with adults, and awareness of cultural diversities.
  • Respect for client confidentiality and the security needed for test credibility.
  • Ability to work effectively in a fast-paced environment.
  • Solid communication skills-written and oral; listening skills, attentive hearing and demonstrating understanding from what is be expressed.
  • Flexible and adaptable.
  • Attention to detail-demonstrating accuracy in one’s work; controlling/eliminating errors; showing concern for all areas of task, however small.

Compensation and Benefits
$30.19 per hour as per CUPE AS5 Casual Rate
