HJF is seeking a Total Rewards Coordinator to perform diversified administrative activities for the Total Rewards team. Responsibilities include supporting day-to-day, weekly, monthly and annual activities of the organization’s total rewards function (compensation, benefits & training).
The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF’s support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.

Responsibilities:

  • Serve as first point of contact/customer support representative for direct inquiries from HJF staff at all levels. Monitor, organize and maintain shared inboxes, voicemail boxes, calendars, and trouble tickets. Receive and respond to incoming mail. Seek assistance from subject-matter leads as needed to research, respond, and resolve problems in a timely, courteous, and complete manner.
  • Schedule and monitor events, meetings and internal milestones including but not limited to training workshops, committee/vendor meetings, wellness events and team meetings/celebrations. Coordinate room and food reservations, communicate with participants/attendees, prepare and distribute materials, and serve as backup to provide light technical support for virtual meetings and events.
  • Assist with organizing, updating, and maintaining compensation-related job documentation. Review and respond to requests for compensation information in support of general salary administration, business development, internal audits and/or external regulatory agency inquiries. Perform routine benefits transactions. Coordinate timely payment of invoices.
  • Inventory, monitor and maintain informational/educational/reference materials; schedule reviews and assist with updates as needed.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.

Qualifications:

EDUCATION AND EXPERIENCE

  • High School Diploma or GED. Background and/or interest in HR/Total Rewards.
  • Minimum of 3-5 years experience required.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent organization and priority-setting skills with the ability to manage several tasks of varying complexity simultaneously while working under pressure to meet deadlines.
  • Strong communication, presentation, analytical and problem-solving skills. Ability to exercise discretion when communicating with employees, management, and government/military customers.
  • High level of customer service skills required with a focus on relationship management and customer satisfaction. Must be proactive with the ability to partner and work effectively in a team environment.
  • Computer proficiency and technical aptitude, including familiarity with HRIS, benefits and compensation databases. Experience with UKG or Oracle Fusion preferred.
  • General awareness of U.S. Federal, State and local benefits and compensation laws & regulations.

PHYSICAL CAPABILITIES

  • Lifting: Requires lifting materials up to 10 lbs.
  • Ability to stand or sit at a computer for prolonged periods.
