Description:

The opportunity
As part of the Total Rewards team, the Total Rewards Specialist is accountable to provide support and guidance for the execution of global mobility programs and processes. They will also support broader total rewards initiatives or projects from time to time.
This role is accountable to manage the end-to-end execution and coordination of the mobility programs at Ontario Teachers’ in partnership with external vendors. Mobility includes relocation of new hires, short term business travel, short term assignments, and long-term, tax and compliance reporting and immigration. This role will support the other Total Rewards teams (benefits, compensation) initiatives, projects or cyclical activities when needed.
Who you’ll work with
This role will report to the Senior Manager, Compensation & Mobility on the Total Rewards team and partner and work with team members across Total Rewards, other COE’s and the Business Partner team.

What you’ll do

  • Clearly communicate and coordinate with all stakeholders (e.g. Business Partners, P&C COE partners, leaders, potential assignees, employees) to initiate services with third party vendors for relocation, immigration and taxation consultation services.
  • Prepare budget and cost estimates for business leaders for mobility programs.
  • Support the creation and distribution of communication materials to articulate complex information or updates for business travel, program documents, or orientation to mobility information and OnTEN materials.
  • Complete regular tax compliance reporting requirements (e.g. Appendix 4 and Reg 102 reporting).
  • Review and monitor business travel reports and identify employees who may be at risk (e.g. days 30 or more working out of country).
  • Manage the process for preparing business invitation letters when requested,
  • Manage and process all invoices from vendors to ensure payments are remitted in a timely manner.
  • Monitoring and ensuring compliance with all immigration matters for existing employee and new hires in partnership with our third-party vendors.
  • Other duties as assigned within Total Rewards
  • Develops strong partnerships with the internal stakeholders to deliver on solutions.
  • Partners with other internal partners in legal and tax to deliver
  • Manage the end-to-end processes of global mobility programs within the framework of our established policies.
  • Identify opportunities to streamline and find efficiencies in processes, and develop solutions / courses of action where there is limited documentation/guidance.
  • Works independently based on broad framework of policies and practices with the guidance of the Senior Manager, Compensation & Mobility.

What you’ll need

  • University degree, with a high level of data literacy (e.g. ability to read, understand, create and communicate using data)
  • 3-5 years’ experience in any total rewards function (e.g. Compensation, benefits, or mobility).
  • Knowledge of Total Rewards processes.
  • Knowledge of mobility, tax & immigration practices, processes, and policies an asset.
  • Extensive knowledge of various Microsoft office products including advanced Excel skills including data management, statistical analysis, and pivot tables.
  • Demonstrated ability to manage complex projects with tight deadlines, showcasing strong organizational detail orientation and time management skills.
  • Proven track record of effectively collaborating with cross-functional teams to achieve project goals.
  • Excellent interpersonal communication skills (oral and written), with the ability to successfully address individual perspectives of those you are consulting with
  • Adept at problem-solving and critical thinking, with a history of identifying and implementing innovative solutions to improve processes and outcomes.
