SUMMARY

The key purpose of this role is to manage trainee pathways for all assigned trainees. Providing pastoral care by coordinating trainee courses and liaising with supervisors, managers and trainer/assessors to ensure trainees are supported and receive required on-job exposure to successfully complete their qualifications. Trainee progression and delivery of accurate and timely reporting to all stakeholders is critical.
Minimum contact with trainees is monthly phone calls and quarterly onsite visits. Travel is required within NZ and Australia for face to face meetings with trainees.

MINIMUM QUALIFICATIONS:

  • Business administration qualification or a minimum 3 years’ experience
  • Workplace Assessor or Adult Education Qualification (desirable)
  • Exceptional customer service skills
  • Database management and accurate data entry
  • Advanced skills in the Microsoft products suite – Outlook, Teams, Excel and Word
  • Excellent spelling and grammar
  • The ability to prioritise tasks and solve problems
  • A thorough understanding of the NZQA and ASQA frameworks

Responsibilities:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Interpret and understand client or industry competency and NZQA/ASQA standards/qualifications for trainees to meet work requirements.
  • Accurate identification of gaps in trainee requirements for qualifications.
  • Support trainees to complete license and regulatory body documentation.
  • Work with client to coordinate and attend graduation celebrations.
  • Ensure clear information is supplied to trainees and managers about all aspects of course details.
  • Organise all purchase order numbers related to trainee courses and arrange training.
  • Regular reporting to all stakeholders on trainee activities.
  • Development, implementation and tracking of trainee training and assessment plans.
  • Financial reporting on clients’ cost savings across training activities.
  • Timely response to all client requests for training and competency information.
  • Meticulous data entry of trainee details and progress into the LMS to ensure accurate reporting.
  • Respond to all client enquiries for training by investigating best fit cost-effective training solutions. This includes sourcing information from various providers and undertaking provider comparisons.
  • Ensure timely updates are made to all competency management apps to capture new and terminated trainees.
  • Maintain and administer accurate information in the training calendars for all trainee activities.
  • Build strong relationships and effectively communicate with clients and providers to ensure accurate and relevant course planning.
  • Reconcile trainee course attendance and provide solutions and reporting on any variance to planned activities.
  • Reconcile all industry training body or apprentice funding reports monthly and report back on any discrepancies.
  • Actively contribute to quality improvement initiatives/actions – CII.
  • Other functions as determined by business requirements.
