REQUIRED KNOWLEDGE AND EXPERIENCE:

  • Bachelor’s degree
  • Two years of experience as an administrative assistant, training specialist or related roles
  • Fluent in English, Spanish, and Portuguese
  • Proficiency with MS office (Outlook, Word, Excel, PowerPoint, etc.) and data visualization tools such as Power BI
  • Experience with office management systems and procedures
  • Familiarity with project management tools (e.g., Planner, Trello, MS Project) and experience with learning management systems (LMS) is considered advantageous for this role

Responsibilities:

  • Maintain records, manage databases, and update dashboards for effective office operations
  • Handle multilingual communication with participants and stakeholders, assisting in report creation and data analysis
  • Prepare internal communications and distribute formatted information, including data reports and presentations
  • Oversee participant registration, inquiries, and issue resolution to ensure a seamless training experience.
  • Coordinate logistics and adhere to budgets for virtual and in-person training sessions and meetings
  • Manage vendor relationships and procurement, including purchase orders and invoice processing
  • Support e-learning platform administration for efficient training distribution and tracking
