Description:

We’re seeking an Administrator/ Programme Coordinator to join the Training Services team within People Services on a 12 month fixed term basis. You’ll be involved in the organisation, coordination and event on hand help at one of our portfolio of manager and senior leader development programmes.
Role holders are expected to have excellent organisation, planning and communication skills. They will be comfortable working with detailed and specific tasks whilst applying simple and efficient ways of operationalising programmes running simultaneously.
They will be responsible for helping with the administration processes, and coordination of leadership development programmes, including consistent reporting on attendance and evaluation metrics.
Administrators are individual contributors who can work independently and as part of a team with expertise in managing conflicting priorities, large volumes of attendees and working across multiple development programmes with differing levels of seniority.
This role within the Training Services team supports implementation and smooth running of manager and leader development programmes and events through on-site liaison, problem solving, reporting and evaluation.

Your success isn’t based on how long you spend at your desk. You’ll have contracted hours, but we’re always happy to support flexible working wherever we can.
This role will however have a critical on-site requirement, where you will host 3rd party supplier/facilitators, provide technical set up support and meet and greet learners when some events are being delivered.
There is also a requirement for service levels to be upheld Monday to Friday, therefore administration and scheduling responses will need to be managed in this time.

ABOUT YOU

As an administrator you will have a proven track record in event coordinating, providing support and administrative services for large scale development programmes.

As a minimum requirement, you’ll need to have:

  • Experience of event coordination.
  • Excellent planning and organisation skills with the ability to prioritise work
  • Excellent reporting and presenting skills using Microsoft Word and PowerPoint
  • The ability to build, collaborate and sustain effective relationships with key internal stakeholders, 3rd party suppliers and Associates
  • Analytical skills with the ability to record, and measure data points i.e. attendance data, reaction feedback, evaluation metrics
  • A planned and organised approach with clear and varied communication
  • Experience of programme reporting and evaluation for development programmes

Responsibilities:

  • Some on-site event coordination including room set up, meet and greet, participant registration, break out spaces, and admin support for the Training Services team.
  • On-site technical support for 3rd party facilitators, coaches and participants
  • Regular interaction with managers and leaders up to senior levels, balancing participant needs with the requirements of the development programme project team
  • Key point of contact for, venues, participants, project team and business functions to operationalise development programme plans.
  • Support the maintenance of programme materials adhering to brand guidelines
  • Collating and recording facilitator and participant feedback, scheduling and administering 360 feedback reports
  • Triaging and responding to learner queries, and FAQs
  • Assigning digitised learning content, helping creating cohorts of learners, monitoring and reporting on the completion of learning from multiple platforms including digital learning, and virtual and/or in-person events
  • Work within the Training Services team to support scheduling, room booking, participant tracking, reporting and monitoring budgets.
