Description:

We are currently looking for an enthusiastic and efficient administrator to join the Transfusion Practitioner team to work within Berkshire and Surrey. The successful candidate would be expected to work primarily at St Peters Hospital Chertsey and Royal Surrey, Guilford. Remote working from one site will be considered

  • have excellent keyboard and database management skills
  • have a working knowledge of Office IT packages,
  • have the ability to learn and utilise a number of software packages.
  • be able to retrieve and search through medical notes for specific information relating to transfusion
  • be able to work under your own initiative and be happy dealing with a range of people
  • To provide administrative and secretarial support to the Transfusion Practitioner Team, effectively maintaining transfusion training calendars/diaries, arranging venues and resolve conflicting diary appointments.
  • To maintain effective filing, uploading of documents as required onto electronic document systems
  • Management of the transfusion training and competency to include uploading training and competency details for trust staff, booking training and competency sessions, management of electronic blood-tracking database.
  • When requested, produce simple reports for the TP, supplying the information in an appropriate format and within required deadlines.
  • Maintain Blood component traceability records which will involve recording the final fate of the blood components on the laboratory computer system, searching notes for evidence of missing transfusion details and recording compliance with the above in line with MHRA regulations

  • To plan and organise own work schedule demonstrating good time management and a high level of accuracy.
  • To obtain and organise information and data in support of own work activities and scheduled audits, maintaining confidentiality in accordance with organisational procedures and data regulations.
  • To develop and maintain effect working relationships with other staff in the Directorate and the Trust ensuring that a professional and seamless service is provided.
  • When requested, produce reports for the TP, supplying the information in an appropriate format and within required deadlines.
  • Maintain stock levels of stationary and other office equipment; ordering stock as required and patient information leaflets from NHSBT as required.
  • Maintain files of data according to regulations regarding retention of data
  • Organise disposal of confidential waste
  • Any other duties as requested.

Training & Competency

  • Enter training and competency data onto OLM to ensure accurate records of compliance with mandatory training are maintained.
  • Produce regular reports from OLM where required by the TP’s
  • Ensure team have sufficient training and competency documentation for booked sessions including attendance sheets
  • Advertise competency sessions using posters and by contacting appropriate staff
  • Maintain a booking sheet and book staff onto the sessions, provide them with appropriate information and resources as directed by the TP team.
  • Management of electronic blood tracking database, including printing of user barcodes

Traceability

  • Collect the traceability tags from each ward weekly, returning them to blood bank.
  • Using the monthly traceability search list:
  • Locate patients notes and search for evidence of transfusion
  • Update traceability search list with findings
  • Update status of the found unit on Winpath
  • Refer any problems to the TP
