Responsibilities:
ROLE CONTEXT
To ensure correct shelving, dispatching, sorting and bagging of Station / Service Centre material according to GSOP and also to draw up the relevant documents, preparation and lodging of RIB shipments.
KEY RESPONSIBILITIES
- Ensure that all high value shipments are labelled and shelved according to the last 2 digits of the AWB
- Continuously check the part-shipments shelf and update SIS with the correct information
- Ensure that no plant, misrouted or incorrectly coded shipments are shelved
- Conduct store checks daily to ensure that each bonded shipment is accounted for
- Ensure that shipments older than 14 days are removed to the states warehouse (daily)
- Ensure that, when scanning shipments, the number of shipments are accounted for and that all shelves are scanned and that the comment on MWP indicates last location of shipments
- Ensure analysis of store-check is done and provide feedback to the Imports Department
- Ensure that all shipments needing pre-advising are placed aside until completions of releases. Continue to then shelve shipments according to the last 2 digits of AWB
- Ensure that multi-shelf shipments are checked and updated daily
- Check which part shipments have been transferred to stations / service centres and release multi-shelf pieces accordingly
- Ensure that when releases are obtained that the correct shipment(s) are drawn and released and that the invoice is attached to the shipment
- Check that the number of pieces on shipments corresponds with the number of pieces on the release
- Attach the release and invoice in such a manner that no other information is obstructed
- Check out released shipments and place on belt
- Ensure that all RIB shipments are scanned as under the correct code on MWP and that the comments filed states the AWB number used for carrier
- Shipments to be transferred down the Transit Shed belt and lodged at airline
- Ensure that all documents of the parcels are drawn as per the report received from the Imports Department within 1 hour of receiving the list
- Clear copies of the AWB and all pages of the invoice must be supplied to Imports stapled in the pre-arranged manner.
- Any shipment for which documents cannot be drawn must be checked on SIS and valid reason to be provided.
- Ensure that whenever a pre-cleared shipment arrives in Transit Shed with no invoice or release available, that the Imports Department is contacted and the AWB number is supplied. State ‘pre-cleared’, date of arrival and request for documents to be forwarded to the Transit Shed
- Ensure that whenever a shipment needs to be diverted to another destination involving a new delivery address, attach the new delivery address to the shipment and delete the incorrect address and destination code on the shipment.
- Always follow GSOP
- Ensure quality is always integrated into the business
- Assist supervisors with daily tasks as required
