REQUIREMENTS
- High School graduation supplemented by post-secondary courses in office or business administration.
- One (1) year directly related relevant work experience.
- Advanced knowledge of the MS Office suite of applications, including Word, Excel and Power Point.
- Sound working knowledge of SAP modules in use in the department (general module, preventative maintenance (PM), finance).
- Knowledge of the functions, regulations, codes and procedures governing transmission activities relating to the duties and responsibilities of the position.
- Ability to:
- Assist in the co-ordination of departmental activities, and to assess and act upon information requirements;
- Establish and maintain effective working relationships with a variety of internal and external contracts;
- Arrange meetings, prepare agendas, take minutes and follow-up on actions from meetings;
- Communicate effectively, both verbally and in writing;
- Familiarity with relational database software and associated reporting tools.
- Ability to quickly learn new applications.
- Fast, accurate keyboarding skills with a minimum speed of 60 WPM.
- Ability to understand, anticipate and meet customer needs and expectations.
- Ability to work independently to meet deadlines.
- Ability to exercise judgment and initiative.

Responsibilities:
- Administer all code and regulatory compliance processes from initiation to recording of data.
- Review completeness and quality of data from field and resolve deficiencies and inaccuracies.
- Document and revise operational processes as directed by the subject matter expert.
- Create and maintain all Transmission information in systems: GIS, SAP, and FileNet.
- Coordinate and maintain the standards generated and reviewed by Transmission.
- Compile various reports including Transmission Incident Reports for the Oil and Gas Commission, and Green House Gas and Nitrogen Oxides quarterly and annual reports.
- Administer and implement Pipeline Patrol Reports for transmission pipeline classes 1, 2, and 3.
- Reconcile data systems from different departments to resolve discrepancies and errors.
- Prepare monthly costing reports utilizing SAP.
- Manage the Transmission digital and hardcopy filing and reference systems.
- Perform various administrative duties for Transmission, including:
- Maintaining time off and work schedules for field employees;
- Processing department expense claims;
- Assisting managers with coordinating the department’s activities related to committee agendas and report preparation;
- Preparing, checking, processing, maintaining a variety of reports, records, files and statistics related to department operations;
- Creating, tracking, distributing and revising corrective action work in SAP
- Perform duties of a minor nature related to the above duties which do not affect the rating of the job.
