Due to growth in our practice, our team is looking for our next Receptionist & Treatment Coordinator.
What You’ll Be Doing
Your primary goal is to ensure that every patient contact with Lynden Hills Dentistry, whether by phone or in person, creates and establishes such a favourable impression that they feel like a welcomed guest to the Practice, and confident in having chosen us for their dental care.
The Receptionist & Treatment Coordinator will service all patient accounts, finances, scheduling and helping patients complete their treatment plans. This includes reviewing information with the patient in a way that encourages treatment acceptance, and may include making financial arrangements, sending predeterminations, and following up on all treatment plans.
You will perform a variety of administrative and clerical tasks and provide support to the Office Manager, assisting in daily office needs and managing general administrative activities. You will utilize technology (CLEARCONNECT, ONLINE SURVEYS) in the most efficient manner to facilitate patient communication, confirmations, feedback, and online scheduling.
This is an active and dynamic role, well-suited to someone who loves interacting with patients, providing the highest quality care, and helping the clinic run flawlessly.
Key Accountabilities
· Complete opening and closing procedures.
· Check answering service, message, emails and manage phone call and respond/update patients.
· Greet and welcome all patients and initiate arrival process.
· Schedule, process, and check out patients.
· Utilize technology and software (CLEARCONNECT, ONLINE SURVEYS) to facilitate patient communications, confirmations, feedback, and online scheduling.
· Maintain tidiness, cleanliness and adequately stocked supplies in the reception area, including stationery and brochures.
· Welcome and educate new patients when they contact us, log details into the New Patient Log.
· Track and report key statistics for the practice and key performance indicators (KPI).
· AR & A/P: on a daily basis: Follow-up and track all patient payment schedules and account receivables to ensure all are collected accordingly.
· Coordinate and manage marketing and promotion initiatives.
· Manage Dentist’s meetings, including CE, consultants, and professionals related to the business.
· Coordinate, track and document minutes of training and staff meetings.
· Coordinate and assist with all compliance related training, audits and inspections.
· Backup ordering / inventory.
· Backup audit and maintenance of the LHD Infection Control Program.
· Backup for Infection Control Coordinator.
· Other duties as needed and instructed by the doctor or management.
Qualifications
· 1-2 years of experience in a similar role
· Excellent written and verbal communication skills
· Creative problem-solving skills
· Strong computer skills, including proficiency in Microsoft Word, Excel, and PowerPoint
· HARP certification
· BLS/CPR (and annual updates)
· Copies of Current Immunization records
· Ability to work with minimal supervision and direction
· Strong organization and time management skills
· Experience with ClearDent is an asset

This is a full-time position, with a competitive total compensation plan. We are conveniently located in Brantford, ON just off the 403 highway.
