ased: 180 Great Portland Street, London, W1W 5QZ. (The candidate will also be expected to attend the Group’s other UK offices as and when required).
Hours: Full-time, Monday to Friday. 9.00am – 5.30pm, with a flexible hybrid working pattern available – a minimum of 2 days per week will be required at 180 Great Portland Street.
Group Overview: A leading management and professional services company based out of the UK and US, YMU provides a portfolio of services to a wide range of clients consisting of leaders in entertainment, film, music, music, radio, television and sport, including athletes, authors, digital influencers, media rights holders, musicians, producers, TV personalities and voiceover artists.
Job Purpose: This role will be responsible for ensuring that all facilities and operational matters run smoothly for all YMU’s UK-based staff and divisions, being the point person for all colleagues to address any operational needs/issues. The role encompasses a great variety of tasks which are likely to constantly change and evolve. ESSENTIAL SKILLS & REQUIREMENTS3

  • -5 years’ experience in a related or similar role
  • Competent overall level of numeracy and literacy
  • Experience of administration of budgets in a business environment
  • Exceptional organisation, communication and administration skills
  • Competent IT skills to include Excel, Word and PowerPoint skills

Responsibilities:

  • Line manager to Reception team.
  • Manage any office maintenance that is required
  • Health and safety management across all YMU UK offices, including but not limited to arranging mandatory testing/assessments, working with the UK H&S provider, management of all fire marshals and first aiders.
  • Manage and approve operational/facilities supplier costs such as property costs, shredding, coffee machines, cleaners etc.
  • Responsibility for budget control on all operational costs.
  • Liaise with brokers on all insurance claims/matters and annual company insurance renewals.
  • Identify operational improvement opportunities and work with the broader central team.
  • Offices and property management of all YMU UK offices, including but not limited to; lease renewals, office moves, office exits, office refurbishments, dilapidations etc.
  • Relationship management with various suppliers, landlords, building management and property management teams.
  • Point of contact for the company’s business travel provider and company travel portal.
  • Liaise with brokers to ensure all UK offices business rates are reviewed.
  • Work with the broader central teams e.g. Finance, IT, HR to manage and update YMU policies as and when appropriate.
  • Support the Group on sustainability initiatives e.g. implementing and adopting new practices in the offices.
  • Work with the US team to ensure consistency across the Group and collaborate on certain tasks.
  • Assist with new divisions/acquisitions operational set up in the UK as and when required.
  • Ad hoc duties and projects as and when required.
