JOB SUMMARY

The Senedd’s Venues and Events team ensures that Senedd estate customers have the best possible experience of our venues and venue support.
As the Venue Bookings Assistant, you will be responsible for corresponding with organisers during the application process for activities on the estate - which will include events and meetings.
You will work with a team to support the delivery of a high profile program of events to Senedd Members, their support staff, Commission staff, contractors, and the public.
You will also be working closely with the Events Officers, to deliver Member of the Senedd sponsored events and activities.
As well as supporting virtual, hybrid and in person activities, you would be consulting with Members and stakeholders, whilst providing organisations and charities with a platform for their causes.
The booking team play a vital role in advising customers on the best format for what they are looking to achieve, whilst liaising with high profile stakeholders, providing an exemplary service to be proud of.

JOB DESCRIPTION

  • Capture and record information about upcoming activities in a thorough and accurate way;
  • Work with team members to provide contact centre cover for phonelines and shared email inbox ensuring customers consistently receive a first-class service;
  • Provide well informed advice to customers regarding meeting and event spaces - which will include Senedd Members and support staff, Senedd Commission staff, and external customers;
  • Support the Parliamentary Events Team with administrative duties, customer relations, and record keeping;
  • Support delivery of activities on the estate, with leadership and guidance from the Parliamentary Events Officers;
  • Communicate with internal stakeholders to ensure their support when required - such as Interpretation, Security, Porters, and Audio Visual;
  • Provide support to the wider service, to maintain an organised workspace – including keeping a record of resources available for meetings and events;
  • Consistently follow established policies and procedures;
  • Record information accurately for corporate KPIs;
