Salary: $77,324 with an annual step progression to a maximum of $98,886
Type of Appointment: Continuing
Normal Work Schedule: Full-time – 35 hours a week; Monday to Friday Regular Office Hours; some additional hours of work during evenings/weekends may be required.

QUALIFICATIONS

Education: University degree or equivalent combination of education and experience.
Experience: Four (4)-years of relevant administrative, registrarial or student service experience, preferably within a university setting. Knowledge of the U of T and the post-secondary environment.
Other: Proficiency with various software packages including Windows, Word, Excel and various databases. Familiarity with ROSI/ACORN, Quercus, and previous website management experience. Strong planning and administrative ability. Excellent oral and written communication skills. Ability to contribute effectively to a team. Demonstrated ability to effectively relate to students. Digital fluency and proficiency in remote digital platforms.

Responsibilities:

PURPOSE:

Under the general direction of the Principal of Victoria College, reporting to the Academic Programs Director and the Associate Director, the incumbent provides a full range of administrative and support services for the Vic Upper-year programs, including: Combined Degree Programs in Education, Literature & Critical Theory, Creative Expression & Society, Education & Society, Renaissance Studies, Material Culture and Semiotics, Science & Society, Capstone Colloquium courses and other programs as added.
Duties will include providing administrative support to the Academic Programs Director and program coordinators; maintaining content on the Vic program web sites and aiding with the on-line course application site; managing the process of admission to the programs (where applicable); answering inquiries about the programs, course timetabling and room bookings; coordination of outside classroom activities, including field trips and attendance at cultural events; and providing academic advice and information to students enrolled in the Vic Programs in conjunction with the Registrar’s Office.

DUTIES

Admission, Liaison, Student Information and Publicity

  • Duties will include providing administrative support to the Academic Programs Director and program coordinators (including but not limited to Quercus access, class lists, POSt coordination)
  • Program-specific support on special components on internships and exchanges (e.g., Education & Society internships, Beijing Exchange)
  • Aiding with the online VIC program and course application site and managing the process of admission to the Victoria College programs and Victoria College courses
  • Advice to students to include advice on the VIC academic programs and courses, co-requisite courses, graduation, international exchanges, and concerns on student safety and proactively makes referrals to students in distress.
  • Act as a resource person for students enrolled in VIC programs
  • Answer inquiries about Victoria College programs

Registration, Enrollment, and Academic Advising

  • Providing academic advice and information to students enrolled in Victoria College Programs in conjunction with the Academic Programs Director and Registrar’s Office.
  • Advice to students to include advice on the VIC academic programs and courses, co-requisite courses, graduation, international exchanges, and concerns on student safety and proactively makes referrals to students in distress.
  • Act as a resource person for students enrolled in VIC programs
  • Answer inquiries about Victoria College programs

Coordinating academic activities

  • Collecting course syllabi and exam information from instructors, reviewing and coordinating with Faculty of Arts & Science protocol
  • Inputting and checking calendar, curriculum, syllabi, and exam scheduling information, in communication with FAS
  • Inputting course timetabling and room bookings and helping to triage potential conflicts
  • Compile and manage program statistics and suggesting ideas for improving programs to Principal and the Academic Director through data analysis of statistics.

Communications and Event Administration

  • Manage the content for Victoria College programs for the Victoria College website, brochures, pamphlets, and other promotional material. Coordinate with the Communications Officer to regularly update academic and promotional material
  • Generates and updates student frequently asked questions (FAQs) for the website and promotional material.
  • Support at student information events
  • Other duties related to the business of the College as assigned.
