Description:
The Heritage offers a sophisticated elegance with impeccable hospitality set in wonderful un-spoilt Laois countryside. It comprises of a luxury world class Hotel and European Award Winning Spa. The Heritage also offers guests a number of on site activities such as our Health Club with Leisure Pool, Jacuzzi, Sauna and Steam rooms, 5km Walking Track and Cinema.
We are currently looking to hire a wedding coordinator to join our existing team.
Responsibilities:
MAIN DUTIES
O Maximising sales & revenue for all business within the hotel.
O Dealing with telephone, email and online enquiries.
O To represent the company in a professional and helpful way.
O To deal with both group and individual reservations.
O Ensure weekly Event Sheets are sent out in a timely fashion to relevant managers on a weekly basis, ensuring all information is accurate.
O Organise & manage all activities such as Weddings, Conferences & Meetings
O To conduct wedding showarounds with potential couples
O To follow up on wedding showarounds with couples
O To meet with couples a few weeks before their wedding to discuss their final details for their big day
O To ensure that each wedding runs smoothly by fully briefing operations team in weekly operations meeting in fine detail
O To ensure that the wedding bill is correct before leaving the hotel
O To follow up on any provisional enquiries for weddings
O Assist revenue manager and reservations team on all wedding blocks
O Utilizing our wedding CRM system to full potential keeping all enquiries, provisional bookings and diary up to date at all times
O To have an in-depth knowledge of key competition and their strengths and weaknesses versus the Group/companies
O Understanding yield and to ensure we achieve the highest average room rate possible.
O Updating files and ensuring all correspondence are updated.
O To liaise with all departments to ensure all requests are adhered to.
O To make every call into a sale.
O To pass every new business lead to the Sales/Events team.
O If requested, to attend corporate events outside of working hours.
O Ensure call backs are completed for all new enquiries. This information is then relayed to the Events Manager.
O Working as part of the ‘events team’ with close liaison & co-operation in particular with departments as Sales & Marketing, Front Office, Food & Beverage and all other areas that in-corporate sales & revenue for the hotel.
O Identification and most particularly the follow-up of all events leads and enquiries into the hotel.
O It is a firm policy that all enquiries & leads must be turned around and responded to within the same day.
O To be fully familiar with all facilities within The Heritage.
O Must have a comprehensive knowledge of the local surrounding areas in terms of history, facilities & attractions.
O Assist in the development & implementation of the sales & marketing plan.
O To ensure The Heritage receives as much exposure as possible including locally, nationally & internationally.
O To showcase our venue at the relevant domestic wedding fairs / tradeshows.
O You will be required to reach targets that will be given to you by the Events Manager.
O To liase with all members and potential guests on the phone and face to face in a courteous and professional manner at all times.
O To deal with guests and members requests in a timely manner.
O To be responsible for all calls, both internal and external in a professional and efficient manner.
O To work in an organised and efficient manner at all times.
O To answer all phone calls in a polite and timely manner and to assist all callers.
O To be fully familiar with all groups, conferences and meetings in all areas of the hotel on a daily basis.
O To identify and follow up all sales leads and enquiries for all hotel facilities.
O Each guest complaint must be given correct attention, documented and a response given within 24 hours.
O To promote a positive working atmosphere at all times, to communicate with fellow events colleagues on a daily basis.
O To assist with any reasonable duties as directed by a Manager.
O Send out contracts for new pieces of business.
O To ensure that a safe and secure environment for customers, colleagues and visitors is maintained at all times.
O Ensure that a weekly revenue report is completed on upcoming Wedding business.
O To present a positive personal image to the customer at all times.
O Report for duty clean and tidy, wearing the correct uniform and safety shoes to Company standard ensuring your name badge are worn at all times whilst on duty.
O To ensure a high standard of personal hygiene.
O To ensure you Clock In and Clock Out on a daily basis.
O To participate in all training programmes scheduled for you.
O Be fully familiar with all Human Resources policies and procedures as set out in the Company Colleague Handbook and to abide by these at all times.
O To maintain departmental standards at all times.
O Responsible for ensuring that all start up documents i.e.. Contract of Employment, Employee Handbook, Job Description and other relevant forms along with legal requirements such as Photo, Passport, GNIB, letter from college etc.. (in the case of international colleagues) are given to the HR Department prior to commencement of position.
O To attend and support hotel and departmental meetings as requested.
O To participate in job chats and performance appraisals.
O To work towards achieving high hotel inspection results.
OTHER DUTIES
