Electrical & Software Engineering within the Schulich School of Engineering invites applications for a WIRED Global Center Administrative Coordinator. This Recurring Part-time position is for approximately 11 months (based on length of grant funding), with the possibility of extension.
The Part-Time Administrative Coordinator reports to the Canadian Director of the WIRED Global Center at the University of Calgary. This role requires coordinating multiple projects, liaising with stakeholders, and managing administrative functions to ensure smooth operations. The position involves both independent and team-based tasks, requiring high organizational skills and attention to detail. The workload fluctuates based on project cycles, with peak periods around major events and reporting deadlines. This is a hybrid role with both on-site and remote work expectations.
Summary of Key Responsibilities (job functions include but are not limited to):

Project Coordination & Logistics

  • Coordinate procedural matters for research, development, and educational projects.
  • Organize seminars, workshops, and meetings, handling logistics, communication, and travel arrangements.
  • Maintain project data, documents, meeting minutes, and participant records.

Marketing & Outreach

  • Develop and design research and outreach marketing materials, including articles, newsletters, and press releases.
  • Manage the Center’s website and social media channels, ensuring timely updates and engagement.
  • Assist in marketing strategies to enhance the Center’s profile.

Event Management and Stakeholder Engagement

  • Plan and execute virtual and in-person events, including conferences and symposiums.
  • Coordinate logistics, venue selection, catering, and participant registration.
  • Oversee post-event follow-up, including feedback collection.
  • Act as liaison between projects and internal/external stakeholders to ensure collaboration.
  • Build relationships with community organizations, industry partners, and government entities.
  • Take meeting minutes and follow up on project action items.

Reporting, Evaluation, Collaboration, & Team Support

  • Prepare presentations and project reports on a quarterly and annual basis.
  • Assist in drafting proposals, research materials, and outreach publications.
  • Review and assess Center initiatives to ensure alignment with goals.
  • Work with teams across the U.S. and Canada to support marketing and promotional strategies.
  • Provide guidance on branding, messaging, and communication consistency.
  • Maintain a service-minded approach in assisting colleagues and partners.

QUALIFICATIONS / REQUIREMENTS:

  • Bachelor’s degree in marketing, communication, business or public administration, or a related field; or equivalent combination of education and experience.
  • Minimum four years of progressively responsible management experience.
  • Strong written and verbal communication skills.
  • Experience in event planning, project coordination, and stakeholder engagement.
  • Technical proficiency with content management systems, social media platforms, and event management software.
  • Ability to work effectively in a hybrid environment with cross-functional teams.
  • Strong organizational skills with the ability to multitask and meet deadlines.
