Description:

QUALIFICATIONS:

  • 10+ years of experience as a legal assistant in a law firm environment required; experience supporting real estate attorneys preferred.
  • Strong typing skills with a typing speed of 80+ WPM minimum required.
  • Working knowledge of legal procedures and legal terminology.
  • Must be adept in spelling, punctuation, grammar and other English language skills.
  • Basic math skills in order to verify calculations in documents.
  • Ability to organize and prioritize numerous tasks and complete them under strict time constraints in a fast-paced demanding environment.
  • Must have the ability to work onsite at the office 5 days per week with a typical work schedule starting at 10 am or later.

Responsibilities:



  • Advanced level proficiency in MS Word with the ability to create and revise complex documents. Position is 90% word processing.
  • Type and proofread correspondence, memoranda, contracts and other legal documents. Process revisions to same based on information provided by attorneys.
  • Must possess a high level of attention to detail to accurately prepare and revise legal documents from rough handwritten comments.
  • Ability to follow the complex regulations that govern real estate transactions
  • Convert Word Documents to .pdfs as requested.
  • Process new business intake for new clients and matters via the DM Open new business intake software system
  • Manage attorney calendars and supports scheduling requirements across multiple lawyers, clients, time zones. Schedule and remind attorneys of appointments and various other dates and deadlines.
  • Monitor attorney’s inbox. Organize client matter related emails and documents and ensure emails and documents are properly profiled and saved in FileSite Workspaces.
  • Edit bills.
  • Prepare attorney expense vouchers.
  • Maintain good public relations with clients.
  • Observe and maintain confidentiality of client and firm information and support maintenance of attorney/client privilege.
  • Make appointments and assist with travel arrangement for attorneys.
  • Review and route incoming mail. Prepare and process outgoing mail, arranging for specialized mail or messenger services as required. Ensure all attachments, exhibits and enclosures are included. Coordinate activities with Office Services as needed.
  • Maintain and organize digital and hard files on request, working in conjunction with the Records Department.
  • Works closely with administrative staff, is team oriented and may need help to support other departments with overload typing, filing, copying or reception relief.
  • May perform other related duties as requested by the firm.
