QUALIFICATIONS:

  • A minimum of a 3-year diploma or degree in Business Administration, Information Technology, or Facilities Management.
  • A minimum of 1-year of work experience in an office environment and data/ business analyst role.
  • Proficiency in Microsoft Office suite, Microsoft Power Automate, Forms and similar tools; certificate in some business analyses tool such as Microsoft Power BI.
    Experience with Archibus or similar computerized work order systems is an asset.

Responsibilities:

At Durham College and Ontario Tech University, the Work Coordinator and Analyst for Facilities Operations is at the heart of ensuring our facilities run smoothly. This role balances customer service, operations support, and financial analysis, making it both dynamic and crucial to our team’s success.
You’ll be the point person for resolving time-sensitive issues, whether it’s coordinating a service call for snow removal, fixing an elevator, or responding to a faculty member’s urgent request. Every interaction matters, and you’ll make sure it’s handled swiftly by tracking, managing, and following up on calls and work orders through Archibus.
Supporting the Facilities Operations front desk during hybrid work schedules or time off will also be a key part of your role. Whether managing service desk requests, tracking attendance, or handling key distribution, your attention to detail keeps everything running smoothly.
On top of customer service, you’ll assist in maintaining the financial health of the department. You’ll be responsible for running reports and creating dashboards to visualize our $8M utilities and operating budget, giving leadership the insights they need to make informed decisions. This includes collaborating on energy management, process improvements, and tracking key performance metrics.
In this role, you’ll have a hand in everything from clerical tasks to high-level reporting, making you an essential part of both day-to-day operations and long-term strategic planning for facilities management.
