JOB DESCRIPTION
Summary of Duties, but not limited to:
- Oversees space utilization, tracks vacancies and ensures that space plans are kept up-to-date.
- Conducts periodic space audits/assessments and reviews all workspace allocation and solutions such as calendar/tracking systems to leverage touch down and meeting spaces.
- Assist Facilities with planning and executing office moves and expansions, while supporting facilities with onsite minor works and variation projects.
- Monitors, tracks and evaluates the progress and adherence to project milestones, key performance indicators, timelines and resource allocation.
- Coordinates and creates communication and promotional activities and materials, as required.
- Collaborates with Hospital customers to understand their facilities requirements and ensure appropriate solutions are sourced consistent with approved standards.
- Reviews operational issues/trends, identifies potential improvements and participates in implementation of solutions.
- Supports with the Facility Action Form (FAF) process and works with facilities to provide overall direction and guidance as necessary.
- Interfaces with Hospital departments and staff as it relates to space and facility related requests/queries.
- Ensures Environmental Sustainability by creating and implementing strategies to reduce the hospital’s environmental footprint.
- Liaising with internal and external stakeholders on ESG initiatives, challenges and enquiries.
- Providing support to the ESG team through all stages of work, including, but not limited to: tracking and analyzing ESG data, engaging with stakeholders, and supporting internal communications.
- Supporting the development of ESG-related processes, criteria, KPI’s, and tools for monitoring the progress and success of ESG initiatives.
- Schedules meetings and coordination of follow-up items to ensure all ESG-focused initiatives remain on track.
- Continuously monitors and maintains awareness of global and local ESG developments, trends, regulations, and best practices to support WCH’s program development.
- Coordinates and disseminates meeting packages and takes detailed minutes for regular standing meetings including the Space Planning and ESG Committees.
- Participates in working groups as required to support ESG and Space initiatives.
- Develop standard project templates and documents while ensuring timelines for project implementation are followed.
- Other duties and project support may be required such as providing project specific support, including scheduling, project controls, cost tracking, and logistics support.

QUALIFICATIONS
- Undergraduate degree in a related field such as Project Management, Facilities Management, or Sustainability field required.
- Project Management Professional Designation or Facility Management Professional certification is an asset.
- Three to Five years of progressive work experience in project coordination or sustainability experience is required.
- Baseline understanding and passion for Environmental, Social and Governance (ESG) principles and industry best practices and standards.
- Ability to generate new and enhanced ESG concepts and ideas both internally and externally.
- Previous experience in a healthcare field or academic environment preferred.
- Strong stakeholder engagement skills and experience with multi-stakeholder communications and ability to build and maintain relationships.
- Demonstrated expertise in using metrics as well as having an analytical approach to inform, influence and communicate.
- Excellent multi-tasking, time management and organizational development skills. Strong critical thinking abilities.
- Communicates professionally and effectively with all levels of management and staff.
- Ability to effectively prioritize and execute tasks.
- Excellent written and oral communication skills to create correspondence and reports and prepare presentations and educational materials.
- Advanced knowledge in all facets of MS Office platforms.
- Demonstration of Project management and coordination skills.
- Demonstrated ability and willingness to learn and adapt.
