Where the team fits in
The Workplace Coordinator sits within The Finance and Business Services team, or FaBS as we like to call them, which is the engine room of the REA Group. The team is comprised of Finance, Risk & Assurance, Workplace Experience & Procurement, Investor Relations, Corporate Development and Corporate Communications.
For our Workplace team, the staff are our customers, we look after them. We support our people and give them a pleasant and safe working experience in the office and at home. We’re onsite, front of house, and always offering a helping hand.

What the role is all about

  • Support the Workplace Manager of our national sites across Australia through the resolution of day-to-day operational issues raised by internal stakeholders and suppliers
  • Manage incoming / outgoing calls, emails, Slacks, and in-person enquiries at reception (this position manages our reception desk 5 days a week)
  • Monitor and action PWE (Procurement & Workplace Experience) tickets that relate to office coordination
  • Assist the WHS Committee group to implement workplace safety programs and information in and around the office
  • Assist the Sustainability team to implement sustainable measures in and around the office
  • Assist the People Services team to implement parking, benefits, new starter and departures, and policies
  • Assist the Enterprise Tech Support team to ensure the office and staff tech is working optimally
  • Process invoices and keep to team approved budget
  • Coordination of reactive, scheduled, and preventative maintenance for all assets and building facilities across Australia
  • Management of on-site trade contractors and suppliers, including site induction to ensure OHS compliance and facilitate all site and building access
  • Manage all building and equipment maintenance requests across all managed sites and monitor all works orders until complete
  • Perform weekly workplace inspections across all floors in our Melbourne head office, focused on WHS, workplace hazards, the working environment and cleaning services
  • Assist with workplace events – room set ups/pack downs, moving furniture, visual displays, deliveries, loading dock access, facilitating additional cleaning or any building facilities request.
  • Conduct office audits for general housekeeping and cleaning. Attend monthly cleaning meetings to discuss supplier performance and track any issues.
