Description

JOB SUMMARY:

The Receptionist/Building Manager will be responsible for overseeing the day-to-day operations and maintaining a welcoming environment at The Leeming Building. This role involves managing reception duties, ensuring the upkeep of common areas and kitchens, coordinating shared meeting rooms, and providing support for various building-related activities.
£22,000 - £24,000 per annum FTE

DESIRED SKILLS AND QUALIFICATIONS:

  • Proven experience in a receptionist or customer service role, ideally within a commercial or office environment.
  • Strong communication skills and a professional demeanor.
  • Ability to multitask and prioritize tasks effectively in a dynamic environment.
  • Excellent organizational skills with attention to detail.
  • Proficiency in basic computer applications (e.g., MS Office, email systems).
  • Knowledge of building operations, facilities management, or property management is an advantage.

Responsibilities
  • Reception Duties:
  • Greet visitors, tenants, and contractors in a professional and courteous manner.
  • Handle incoming calls, emails, and inquiries promptly and effectively.
  • Manage visitor sign-ins, issue visitor badges, and ensure building security protocols are followed.
  • Building Operations:
  • Maintain cleanliness and tidiness of common areas, including lobbies, corridors, and kitchens.
  • Monitor and restock office supplies in common areas as needed.
  • Coordinate with cleaning staff to ensure high standards of cleanliness are maintained.
  • Meeting Room Coordination:
  • Manage the booking schedule for shared meeting rooms.
  • Set up meeting rooms with necessary equipment and refreshments as requested.
  • Ensure meeting rooms are clean and organized after each use.
  • Tenant and Contractor Support:
  • Assist tenants with inquiries, service requests, and general support.
  • Coordinate with contractors for repairs, maintenance, and deliveries.
  • Monitor contractor activities, ensuring compliance with building policies and safety regulations.
  • Vacant Office Management:
  • Assist in organizing and conducting viewings of vacant office spaces.
  • Maintain knowledge of available office units and their features.
  • Support leasing activities by providing information to potential tenants.
  • Administrative Support:
  • Assist with administrative tasks such as mail handling, courier services, and document management.
  • Maintain accurate records of building visitors, contractors, and service providers.
  • Support property management with data entry and reporting as required.
