SUMMARY: Under the general direction of the Manager of Nursing Resources, the Operations Supervisor is responsible for a variety of administrative and financial non-nursing functions. Coordinates and monitors staffing and scheduling systems for the Nursing Service Division and select Patient Care Services Departments. Maintains management information systems relative to utilization of nursing and ancillary personnel. Uses electronic bed board to assist nursing leadership in facilitating patient flow throughout hospital. Performs a variety of administrative support duties. The core Success Factors include: Instill Trust and Value Differences Patient and Community Focus and Collaborate RESPONSIBILITIES: Assists the department director/manager to plan for scheduled and unscheduled staff vacancies by reassigning personnel and supplementing staffing with float or per diem nurses as needed. Collaborates with nursing management to ensure that the department’s scope of services strives to meet the needs and expectations of internal and external customers. Foresees potential problems and intervenes to offset adverse impact. Consults with Admitting regarding placement of patients. Functions in the absence of case management when needed. Demonstrates flexibility and innovation to facilitate the changes required to improve operations or to enhance revenue, effectiveness, productivity, responsiveness, and other quality factors. Demonstrates ability to respond to and provide direction on changing workload during crises and emergency situations. Exhibits effective decision-making skills. Assesses manpower needs, including number of staff, skill mix, and authorizes reassignment and replacement of staff and overtime to meet needs. Monitors staffing to ensure the optimal use of scheduled time and overtime for maximum productivity. Assists with cost containment by encouraging use of benefit time during periods of low census and/or low workload. Ensures the security and confidential treatment of sensitive and private information. Demonstrates ability to utilize computer technology for data generation, retrieval, analysis, and documentation. Readily accepts and receives feedback from colleagues and staff, creating safe environment for disagreement.Demonstrates effective writing skills for correspondence, reports and other documents. Collaborates with other leaders and relevant personnel to resolve problems and make decisions.Documents and tracks availability of per diem staff per policy.Contacts the float, off-duty, or per diem staff for supplemental staff as needed and requested.Compiles and maintains Nursing Division and select Patient Care Services staff contact directory.Maintains all clerical records required for the staffing systems. Maintains all records of personnel assignments.Performs administrative functions related to the use of the electronic bed board to support nursing leadership in facilitating patient flow.Processes and distributes end-of-pay period reports.Collaborates with nurse and select patient care services departments and finance to develop and maintain systems for collecting information to measure unit(s) productivity.Maintains computer hardware and software, and inventory of supplies.Coordinates scheduling and provides requested reports through electronic scheduling systems.Maintains staff records (i.e. use of sick time, FMLA, per diem, select inservices/competencies).Serves as resource for electronic scheduling systems.Sets up and maintains user accounts in electronic scheduling systems.Communicates with appropriate director/manager and nurse supervisor all pertinent staffing information in a prompt and accurate manner.Demonstrates phone courtesy; identifies self and the office.Demonstrates effective writing skills for correspondence, reports and other documents.Prepares timesheets for director/manager approval.Ensures the security and confidential treatment of sensitive and private information.Provides administrative support to Directors/Manager as assigned.Coordinates and tracks administrative aspects of the onboarding process for new hires in the Nursing and select Patient Care Services Division in support of nursing and Patient Care Services leadership.Orders and manages supplies effectively. Controls timely and appropriate flow of information throughout the department and the organization; keeps people informed. MINIMUM QUALIFICATIONS: Qualifications: High School diploma or equivalent. Strong analytical, organizational, interpersonal and demonstrated customer service skills required. Ability to function effectively in environment subject to urgent and frequent service requests. Proficiency in word processing and spreadsheet software. Preferences: prior experience with electronic scheduling systems and Associate degree in secretarial/medical administrative assistant studies.Physical Requirements: Must be able to sit for 3-7 hours; stand, walk, twist, bend, squat, and kneel infrequently. Must be able to lift 10-35 lbs with good body mechanics. Must be able to use both hands and perform work with moderate deviation from neutral wrist position with moderate hand/wrist repetitions. Must be able to perform frequent fine motor skills. Near and far vision must be accurate at 20/20 with moderate color discrimination and accurate depth perception.
