WORK CONTEXT

Dal 2021 CESVI è soggetto gestore dell’iniziativa Formula di Intesa Sanpaoloe ha l’incarico di selezionare, monitorare e rendicontare le migliori progettualità in tema di sostenibilità ambientale, inclusione sociale e lavorativa in Italia.
Il/La Administrative Project Officer lavorerà nella National Programmes Unit in stretta collaborazione con il Programme Manager di Formula, occupandosi prevalentemente di accompagnare le organizzazioni non profit beneficiarie nella progettazione di dettaglio delle attività che verranno sostenute dal programma.

JOB DESCRIPTION

Il/La Administrative Project Officer avrà un riporto gerarchico all’Head of National Programmes Unit e lavorerà in coordinamento con il Programma Manager di Formula. Si occuperà di implementare e gestire un adeguato sistema di gestione amministrativa, finanziaria e di rendicontazione dei progetti finanziati da CESVI grazie al Programma e realizzati da organizzazioni non profit (ONP) sul territorio italiano. Nello svolgimento del suo ruolo si interfaccerà anche con l’Area Administrative Coordinator dei programmi nazionali, in termini di supervisione e supporto.
Collaborerà con lo staff inter-unità di CESVI dedicato a Formula, composto da figure operative afferenti all’Unità National Programmes e al Dipartimento Fundraising, Marketing and Communication, oltre ad altre aree di CESVI, garantendo il rispetto delle policy, processi e procedure interni.
Opererà principalmente dal proprio domicilio, rendendosi disponibile a partecipare a incontri in presenza e formazioni presso la sede CESVI (Bergamo – Milano) e a effettuare missioni presso le sedi di realizzazione dei progetti, con le ONP coinvolte dal programma.

Nello specifico si occuperà di:

  • Supportare i/le Programme Officer di Formula nelle fasi di accompagnamento alle ONP alla progettazione di dettaglio, in particolare per l’accompagnamento alla stesura dei budget.
  • Controllare puntualmente le rendicontazioni prodotte periodicamente dalle ONP: lista spese; documentazione di supporto; budget forecast update.
  • Verificare con precisione la coerenza tra i report economico finanziari e il budget sottoscritto originariamente.
  • Richiedere alle ONP, laddove necessario, integrazioni di dati e/o documenti riguardanti le rendicontazioni ricevute, monitorando il follow-up delle richieste.
  • Interfacciarsi con le ONP, in stretta collaborazione con i/le Project e Programme Officer, per tutta la durata dei progetti, con modalità diverse e in particolare con momenti di allineamento online definiti.
  • Svolgere, se necessario, missioni di monitoraggio amministrativo-finanziario presso le sedi delle organizzazioni coinvolte.
  • Gestire l’archiviazione della documentazione relativa alle rendicontazioni prodotte dalle ONP, utilizzando gli strumenti forniti da CESVI in termini di server e software.
  • In caso di audit di progetto, predisporre la documentazione necessaria.
  • Predisporre aggiornamenti frequenti sullo stato di avanzamento delle attività, da condividere con Programme Officer e Programme Manager.
  • Svolgere queste attività in conformità con le regole di CESVI, con particolare riferimento alle procedure di procurement e in generale della Guida alla gestione del contributo dei progetti Formula.
