JOB DESCRIPTION

We’re looking for an Academic Coordinator to join our dynamic team at Pickering Institute. In this role, you’ll play a pivotal part in planning, executing, and managing our academic programmes and short-term initiatives. Your proactive approach and ability to thrive in a fast-paced environment will be essential as you provide administrative support to ensure the smooth operation of our institute.

JOB REQUIREMENTS

  • Diploma or Degree in any discipline with a minimum of 3 years of relevant work experience (preferably within a Private Education Institution).
  • Mature, responsible, and proactive attitude.
  • Excellent command of written and spoken English and Mandarin Chinese.
  • Strong interpersonal and communication skills.
  • Highly organised with meticulous attention to detail.
  • Proficient in administrative tasks and IT skills.
  • Ability to multitask and coordinate effectively.
  • Fast learner, resourceful, and dynamic team player.
  • Customer-focused with a hands-on approach.
    Experience with Learning Management Systems (LMS) and online portals is advantageous.

Responsibilities:

  • Collaborate with the Head of Institute to plan and execute academic programmes and short-term initiatives.
  • Demonstrate a positive attitude and adeptness at multitasking in a fast-paced environment.
  • Provide comprehensive administrative support to facilitate the seamless functioning of the institute.
  • Liaise closely with the Recruitment and Admissions Division to oversee student enrolments.
  • Work collaboratively with the Student Services team to provide assistance and support to students.
  • Ensure compliance with quality assurance requirements, working closely with the Quality Assurance (QA) Department.
  • Coordinate with the Resources and Operations Division to address classroom allocations and fulfil student and faculty requirements.
  • Arrange logistics for lessons and events, ensuring smooth daily operations.
  • Establish and maintain an efficient filing system.
  • Prepare monthly reports and analyses, including invoicing, budgets, and expenses.
  • Assist in faculty management and the implementation of academic programmes.
  • Coordinate with overseas teaching centres to ensure effective programme delivery.
  • Oversee programme management and operational planning during the study term.
  • Undertake any additional duties, projects, or assignments as delegated by management.
  • Coordinate with industry partners and international academic components to facilitate the enrolment of international students.
    Manage relationships with overseas teaching centres and stakeholders.
