Description:

To provide administrative assistance and comprehensive support to the Account Director and Sales Team in order to maximize the effectiveness of sales and purchase processes whilst optimizing and upholding client service standards.

QUALIFICATIONS

  • A minimum of 2 years’ experience working in a secretarial role or similar would be preferred
  • Fluent in Japanese
  • Fluent in English
  • High level of experience and proficiency in MS Excel, Powerpoint and MS Outlook is required
  • Administrative or business degree preferred

Responsibilities:

  • Create briefs through the LINK Connect System
  • Liaise with the designated Sales Support Team to ensure pricing is returned on time and in full
  • Follow-up with Local Suppliers to ensure pricing has been obtained on time and in full
  • Complete necessary client documentation and upload information on the system
  • Liaise with the designated Sales Support Team to obtain DDP pricing for the relevant market
  • Liaise with the QA Team and provide all necessary specifications and correctly completed documentation
  • Take orders through the LINK Connect System ensuring all relevant documentation have been uploaded correctly and in full (Clint PO, SAP and all other relevant documents)
  • Maintain accurate, legible customer files and records
  • Assist with the preparation of client management information reporting and documentation and WIP logs as required
  • Add orders to SAP as and when required
  • Manage incoming purchase orders and update the shared PO tracker
  • Assist with the onboarding of new suppliers in relation to LINK Procurement procedures
