Description:

NATURE AND SCOPE:

Under the limited supervision of the Senior Accountant, the incumbent will perform data processing/accounting tasks. Work is deadline driven, varied and requires an organized and methodical application of routines. The incumbent is responsible for the day-to-day operations in the area assigned.

ABILITIES, KNOWLEDGE AND SKILLS:

Working knowledge of accounting procedures including General Ledger (i.e. liabilities, income, expenses, debits, credits, balance sheets), and appropriate uses of general ledger account codes.
Ability to operate various types of computer equipment and multi-line switchboard.
Ability to communicate and maintain positive working relationships with co-workers, other employees of the Board and the public.
Ability to manage, organize and prioritize workload with limited supervision.
Ability to apply routines and demonstrate flexibility as volume and deadlines require.
Working knowledge of computerized data processing systems and demonstrated ability to operate same.
Working knowledge of and familiarity with a computerized environment including but not limited to MS Excel, MS Office and Computerized Accounting software
Familiarity with purchase orders and processing invoices for payment
Familiarity with batch entries, fiscal periods, balancing accounts and finalizing entries.

QUALIFICATIONS:

Grade 12 supplemented by post-secondary education in accounting and data processing or keyboarding courses.
Two years proven previous work experience in computer-based accounting and data processing procedures.
Keyboarding - 50 w.p.m.

Responsibilities:

Performs central data processing functions including accounts payable invoice entry (changes and deletions), district and school field trips, processing journal entries, cash receipt entries and daily reconciliations of debit/credit card transaction log.
Weekly accounts payable cheque and Electronic Funds Transfers (EFTs) in both Canadian and US funds for vendors and district employees
Reconciles the District’s purchasing cards.
Ability to calculate appropriate GST rebates on vendor invoices.
Identifies accounts payable errors, budget code errors and requests corrections as required.
Identifies, prints, and attaches account payable print labels to each accounts payable invoice for scanning.
Prepares invoice batches for scanning, scans and checks batches in accounting software to ensure success, files batches.
Adds and maintains vendor and employee accounts payable records including changes in addresses and banking information.
Maintains batch input records.
Reconciles and processes petty cash, mileage claims and ensures proper calculations, proper receipts and budget codes are provided.
Reconciles all District BMO MasterCard Accounts.
Inputs journal entries, including monthly benefit billings as required.
Prepares and delivers weekly bank deposits, including bill payments.
Periodic support for other Accounting Clerk 2 positions for absences and to meet reporting deadlines.
Performs various cross-referencing functions as required.
Provides front Reception coverage for breaks as required.
Other assigned job-related duties.
