Description:

Our Richmond based client is seeking a detail-oriented and organized Administrative Assistant and Accounts Payable Specialist to join their finance and team. Reporting to the Controller, this role plays a pivotal part in the Finance Team. REQUIRED SKILLS AND QUALIFICATIONS:

Minimum 1-3 years of experience
Excellent attention to detail and data entry skills.
Strong organizational ability and problem-solving skill.
High level of accuracy and solid mathematical skills.
Solid understanding for basic bookkeeping and accounts payable procedures.
Proficiency in Microsoft Office Suite (Outlook, Word, and Excel) and other software programs.
Experience working with an ERP system, especially Oracle NetSuite, is considered an asset.
Strong interpersonal and communication skills (both written as well as verbal) with the ability to communicate with all levels of the organization in a professional and competent manner.
Able to adapt to change and learn new processes as the business evolves/develops
Proven ability to multi-task, work well under pressure, handle high volumes, and prioritize workload to meet deadlines
Team player with positive attitude who takes initiative and has a strong work ethic

Responsibilities:

ACCOUNTS PAYABLE DUTIES:

Process accounts payable transactions accurately and efficiently.
Match invoices with purchase orders and receiving documents.
Processes and codes all invoices, reimbursements, cheque requests, recurring expenses, and debit charges.
Verify approvals and ensure proper coding of expenses.
Prepare and perform weekly cheque runs and electronic payments.
Reconcile vendor statements, resolve account discrepancies and billing issues.
Reconcile payable reports on a monthly basis.
Assist in month-end closing processes related to accounts payable.
Maintain accurate records and documentation, including electronic and hard copy filing system.
Other accounting duties, as required.

ADMINISTRATIVE ASSISTANT DUTIES:

Greet visitors and provide exceptional customer service.
Answer and direct incoming calls in a professional manner.
Manage the reception area, ensuring it is tidy and presentable.
Sort and distribute incoming mail and packages.
Perform a wide range of administrative and office support activities.
