Description:
The Health, Safety and Environmental Department provides essential services to all Pinto Valley Mine personnel, Capstone corporate management, and numerous State and Federal regulatory authorities. The HSE Administrative Assistant supports a team of technical professionals with generation of correspondence, reports, presentations, data management, and general office tasks.
KNOWLEDGE
- Minimum Grade 12 education, or GED
- 3-5 years prior experience required
KEY COMPETENCIES / SKILLS
- Proficient with MS Word, Excel, Teams, PowerPoint
- Proficient with basic office equipment
- Proficient with HSE Management Software (with training)
- Excellent communication skills (verbal, written and listening)
- Strong organizational skills
- Detailed oriented
- Ability to work and communicate effectively with internal and external stakeholders
- Ability to work collaboratively with team professionals

Responsibilities:
POSITION RESPONSIBILITIES
- Preparation of Purchase Requisitions and Service Entry Sheets
- Generation of numerous month-end reports (variance, safety statistics, KPIs, etc.)
- Budget tracking
- Ordering and stocking basic office supplies and equipment
- Hard copy and electronic file management
- Preparation of expense reports and travel arrangements
- Maintenance of department records and reporting
- Mail collection and distribution
- Scheduling and organizing events
- Formatting and updating forms
- Planning, scheduling, measuring and analyzing activities
- Proofreading and editing correspondence and documents
- Training room organization and set-up
- Contract administration
- Data entry
- Other duties as assigned
