SUMMARY

We are currently seeking a dynamic and motivated self-starter to join our team in the role of Administrative Assistant Senior for our Health Equity work. The goal of the Michigan Women?s Health Initiative (MiWHI) is to link pregnant and birthing individuals with unmet social health needs identified in health care settings to resources in their communities to address these needs. MiWHI is a partner in a statewide Health Equity Grant collaborative, which aims to address social health needs in patients across Michigan by linking healthcare and community partners to achieve equitable health outcomes for all. This collaborative operates with health equity as a core value across all processes and outcomes.

REQUIRED QUALIFICATIONS*

  • A minimum of four years of progressively more responsible experience is required.
  • Our ideal candidate will have experience working in a team oriented, fast-paced work environment with a proven track record of meeting deadlines, anticipating the needs of the team, and delivering outcomes.
  • Exceptional writing and editing skills.
  • Proven experience and proficiency working in programs such as: Windows, Microsoft Office applications, and Human Resources Management Systems.
  • Proven ability to be highly organized and self-motivated; able to manage multiple projects without loss of quality.
  • Demonstrated ability to prioritize, meet deadlines, and produce detailed and accurate work.
  • Ability to set priorities, handle multiple assignments and deadlines, and display excellent judgment while operating in a flexible and professional manner; strong ability to multitask while remaining focused is essential.
  • A high degree of initiative, resourcefulness, and the ability to anticipate needs.
  • Experience working in a statewide quality collaborative.

DESIRED QUALIFICATIONS*

  • Prior experience within the University of Michigan and familiarity with their systems, policies, and procedures.
  • Academic health system or medical center experience.

Responsibilities:

Meetings and Calendar Management

  • Provide complex calendar management for the OBI team exercising discretion and judgment to analyze and appropriately prioritize complicated and challenging schedules; respond to frequent changes in schedules; screen the purpose of meeting requests; set priorities when there is a conflict; obtain information with regard to the meeting and provide background information needed for meetings.
  • Schedule and provide logistical support for meetings and webinars, including taking detailed minutes, drafting and disseminating materials. Provide written reports from those meetings including action items, in a timely manner.
  • Lead the organizing, scheduling, and coordinating of program events.
  • Support the daily operations of OBI, including setting up webinars, workgroup video conferences, trainings, and meetings.

Budgetary

  • Lead the efforts on financial and budget matters for the program including, but not limited to, vendor payments, tracking of expenses, processing and reconciling statement of accounts and P-card statements, leading budget preparation and development, preparing the annual budget reconciliation, and handling procurement of goods/services using M-Pathways.
  • Lead all efforts on financially managing incentive payments to all focus group participants, participating clinics, and other stakeholders.

Administrative Oversight

  • Lead the preparation of vendor contracts, including managing room and meal reservations, and coordinating audiovisual equipment use.
  • Organize travel for team members and external speakers.
  • Complete travel/reimbursement reports.
  • Develop and disseminate a variety of documents including agendas, minutes, manuscripts, abstracts, presentations, policies, and guidelines.

Tracking and Organizing Documents

  • Organize and maintain an electronic library of documents and resources.
  • Maintain and track policies, guidelines, and procedures at the institution level, department level, and program level.
  • Establish and maintain lists with contact information of both internal and external stakeholders, including program participants, to ensure quality communication.
