Description:

JOB SUMMARY

  • Provide admin and operational support to the AHO manager and help to maintain CEO and COO calendars.
  • Coordinate the meetings assigned by AHO manager and record minutes of the meetings.
  • Assist AHO manager in staff engagement and hospitality matters.

REQUIREMENTS:

  • A general degree or equivalent from a recognized institution is required.
  • Additional qualifications in healthcare services are advantageous.
  • A minimum of 3 years of experience in a similar role is required.
  • Knowledge of healthcare operations and service processes is essential.
  • Must demonstrate initiative and be able to collaborate with other professionals in the multidisciplinary hospital team.
  • Should possess strong communication and interpersonal skills, and be able to relate well with colleagues and external partners.
  • Adequate IT knowledge is essential as the hospital transitions to an electronic records environment.

  • Senior Management Meetings
  • Hospital Management Meetings
  • Medifund Committee Meetings
  • Allied Health & Operations Meetings
  • Project meetings
  • Support AHO manager in her admin functions as assigned from time to time.
  • Track and maintain an electronic directory and file of all circulars and advisories from MOH, AIC, MOM and other relevant authorities.
  • Maintain a current manual of policies and procedures for reference in the day to day operations.
  • To be familiar with operations of AHO department and the PDPA compliance to the PDPA in all our procedures and processes for handling personal data and to alert AHO manager may arise due to gaps in the handling of personal data.
  • Foster a data protection culture among the AHO department colleagues through department audit.
  • Assist in the co-ordination for staff engagement event and hospital visits in terms of scheduling, room booking, preparing refreshment, planning hospital tour, participating in the welcome team, etc.
  • Assist AHO manager in collating Medifund claims from various departments.
  • Assist AHO Manager in the co-ordination for the internal and external audits and inspection.
  • Participate in quality improvement initiatives and projects.
  • Cover the duties of AHO department colleagues in their absence.
  • Assist in operating the pandemic and business continuity plans in connection with the hospital-wide response plan in the event such plans need to be activated.
  • Nominate as an Emergency Warden someone who is physically capable of handling a fire extinguisher and walking down the stairs. The individual should remain calm during emergencies and stressful situations..
  • Assume other responsibilities relevant to position as delegated from time to time, including work relating to the expansion of services and development of new services or new projects.
